THE SHORT ANSWER

Choose by how you work, not by a ranking. Solo and booking clients: HoneyBook (from $36 a month) or Dubsado (from $335 a year). Billing hours: Bonsai. Sales first: HubSpot, free for up to 2 users. A team that needs a portal: SuiteDash or Workspace369, our pick, from $29 a month.

KEY TAKEAWAYS

- Client management software runs the work after the yes: one client record with a portal, proposals, projects and invoices. A sales CRM such as HubSpot is built to win the deal first.
- HoneyBook Starter is $36 a month ($29 billed yearly) and already includes proposals, contracts, invoices and the client portal; automations and the scheduler start on Essentials at $59.
- Dubsado is $335 a year on Starter and $525 on Premier; scheduling and automated workflows need Premier, and 3 additional users are free.
- Bonsai charges per user: Essentials is $25 a user a month ($19 billed yearly), so a team of five pays $125 a month.
- SuiteDash charges one price per plan, from $19 a month, which makes its $49 Thrive plan the cheapest option here for five people.
- Workspace369, our pick, starts at $29 a month for one seat; the 2-seat plan is $74 with extra seats at $10, and deposit on acceptance and time tracking are on every plan.

**Next step:** [Workspace369 for client management ↗](https://workspace369.com/solutions/client-management-software/?utm_source=clientworkhq.net&utm_medium=referral&utm_campaign=best-client-management-software&utm_content=answer). Plans start at $29 a month ($23.25 billed yearly). Cadet through Commander start with a 14-day free trial; a card is needed to start.

Our #1 pick is Workspace369. [Our editorial approach ↗](https://clientworkhq.net/about/#disclosure)

### What changed in this guide

- Nov 2, 2026 — Corrected a Workspace369 plan fact: Cadet through Commander start with a 14-day free trial (Workspace369 pricing page and its FAQ, read 2026-11-02).
- Oct 27, 2026 — Rebuilt as a ranked guide: a definition section, a "How we compared these tools" method, a numbered pick for each type of business with a limitation and a "Best for" line, key takeaways and shorter FAQ answers. Prices re-read on 2026-10-27: HoneyBook, Dubsado (monthly $35/$55, yearly $335/$525, user tiers), Bonsai, HubSpot (free CRM for up to 2 users, Starter $20 a seat), SuiteDash and Workspace369 unchanged.
- Oct 25, 2026 — Prices re-read on 2026-10-25: HoneyBook, Bonsai, SuiteDash, HubSpot Starter and Workspace369 unchanged. Dubsado monthly rates and HubSpot free-CRM wording could not be confirmed and keep their 2026-10-08 date.

The companion video reflects its original recording. This article carries the updates listed here.

The best client management software keeps the whole job, from proposal to paid invoice, on one client record. Solo and booking clients: HoneyBook (from $36 a month) or Dubsado (from $335 a year). Billing by the hour: Bonsai ($25 a user a month). Winning clients through a sales pipeline: HubSpot, whose CRM is free for up to 2 users. A team that needs a client portal: SuiteDash (from $19 for the whole plan) or Workspace369, our pick, from $29 a month. Run each finalist through our [trial checklist](https://clientworkhq.net/tools/trial-checklist/) before you pay.

## What client management software is (and is not)

A CRM and client management software overlap, but they are built for different halves of the job.

| | Sales CRM | Client management software |
| --- | --- | --- |
| Built to | Win deals | Run the work after the yes |
| Center of gravity | Leads, pipeline stages, follow-ups | Portal, proposals, projects, invoices |
| The client sees | Your emails | A portal, a proposal to accept, an invoice to pay |
| Done when | The deal is marked won | The final invoice is paid |

A service business needs the whole line: lead, proposal, project, paid. The best fit covers as much of that line as possible on one record, so you are not copying a client from a sales tool into a project tool into an invoicing tool. It is not a replacement for accounting software: most of these tools send invoices and connect to a bookkeeping app rather than keep your books.

## How we compared these tools

We compared published plans, not marketing claims. For each tool we checked:

1. **Price at 1, 3 and 5 logins,** from monthly list prices on each vendor’s own pricing page, read October 27, 2026. Yearly prices are noted separately, and promotions are left out of list prices.
2. **The five jobs** below: which plan each one first appears on, from the vendor’s plan table.
3. **How team pricing works:** per user, one price per plan, or seats included in the plan.
4. **Trial terms:** length and which plan the trial runs on, as the vendor states them.
5. **One real limitation** per tool, from its own plan table or documentation.

What we did not do: a timed, hands-on test of every product. The business examples are illustrative.

## What client management software must do

Before comparing brands, check five jobs. Every job should connect back to the same client record.

| Job | What good looks like | What to check in a trial |
| --- | --- | --- |
| 1\. One client record | Contact details, notes, files and history in one place | Can you import your client list from a spreadsheet? |
| 2\. A client portal | The client sees progress, shared files and invoices to pay | What does the client need to get in: a link, a code or an account? |
| 3\. Proposal to invoice | The accepted proposal becomes the invoice, with a deposit at the yes | Does it turn into the invoice without retyping? |
| 4\. Communication history | Emails, texts and call notes on the client’s record | Do email and texts land there, or only notes you type? |
| 5\. Tasks | A repeatable task list for every new client | Can you start the same list for every new client? |

Why each one matters:

- **The record.** If answering “where are we with this client?” takes three apps, that is the problem you are buying software to fix.
- **The portal.** When clients can see the status themselves, the “just checking in” emails drop.
- **Proposal to invoice.** Retyping a scope into an invoice is where amounts and dates go wrong. Taking the deposit when they accept turns a yes into a start date.
- **Communication history.** When someone is out, the next person reads the client’s thread, not a colleague’s inbox.
- **Tasks.** The welcome pack, the kickoff call and the first drafts belong to the client, so nothing lives in someone’s head.

Three questions then decide most of the fit: how many people need a login (per-user pricing grows with every hire), how you bill (hourly work needs time tracking that feeds the invoice; project work needs deposits and staged invoices), and how clients find you (a sales process needs a pipeline; bookings need forms, proposals and contracts). A solo wedding photographer cares about proposals, contracts and the portal, not seats; a five-person design studio cares about seat pricing, a shared inbox and the portal.

## The best client management software in 2026

### 1\. Workspace369, best for small client-work teams

Our #1 pick is Workspace369. It fits client-work teams that want the client, the proposal, the project and the invoice in one place:

- **Client portal:** each client gets a private portal with their projects, task board, comments and invoices to pay.
- **Proposals on every plan,** which clients accept and sign through a link. An accepted proposal turns into the invoice in one step. With Stripe connected, the client can pay the deposit as they accept, and you see when they open the proposal.
- **One client thread from the 2-seat plan:** emails and texts land together in a shared inbox, AI summarizes long threads, and you can reply by text.
- **Projects** with stages and tasks on a board, and **invoices** that clients pay online by card.
- **CSV client import** on every plan, so your list moves over on day one.

The lowest plan is $29 a month for 1 seat ($23.25 billed yearly). The 2-seat plan is $74, and extra seats are $10 a month from that plan; a 10-seat plan is $149. Deposit on acceptance, time tracking and intake forms are on every plan. Cadet through Commander start with a 14-day free trial (card required). [Workspace369 pricing](https://workspace369.com/pricing/?utm_source=clientworkhq.net&utm_medium=referral&utm_campaign=best-client-management-software), [Workspace369 client management](https://workspace369.com/solutions/client-management-software/?utm_source=clientworkhq.net&utm_medium=referral&utm_campaign=best-client-management-software)

**Limitation:** the 1-seat plan has no texting, calls or shared inbox; a dedicated texting and calling number needs a one-time $50 carrier setup. Online booking starts on the $149 plan, so a solo pro who mainly books sessions may do better with HoneyBook. It is not a sales-team CRM with lead routing.

**Best for:** a small team that wants proposal, deposit, project, portal and invoice on one client record. To see one job from proposal to paid invoice, read our [Workspace369 walkthrough](https://clientworkhq.net/blog/workspace369-walkthrough/).

### 2\. HoneyBook, best for solo creatives booking clients

HoneyBook fits solo creatives who book clients with proposals and contracts. Starter is $36 a month and already includes invoices and payments, proposals and contracts, and the client portal. Essentials, $59, adds the scheduler, automations, the QuickBooks Online integration, SMS reminders and up to 2 team members. Premium, $129, lifts the team-member cap and adds priority support and multiple companies. Billed yearly, the page showed $29, $49 and $109 a month on October 27. HoneyBook’s pricing FAQ describes a 30-day free trial. [HoneyBook pricing](https://www.honeybook.com/pricing)

**Limitation:** automations and the scheduler are not on Starter, and Essentials caps you at 2 team members, so a growing team jumps to $129.

**Best for:** a solo photographer, designer or planner who wants proposals, contracts and a portal working on the cheapest plan.

### 3\. Dubsado, best for solo pros who want custom forms and workflows

Dubsado fits solo pros who want custom forms and automated workflows. Starter is $35 a month and Premier $55, or $335 and $525 a year billed annually. Both plans include client portals, invoicing and payment plans. Scheduling, automated workflows, public proposals and the bookkeeping integration start on Premier. Starter allows 1 active lead capture form; Premier lifts that limit. Dubsado includes 3 additional users free, then lists user tiers of $25 a month for 4–10 users, $45 for 11–20 and $60 for 21–30. The free trial lasts 21 days on Premier. [Dubsado pricing](https://www.dubsado.com/pricing)

**Limitation:** the features most people buy it for, workflows and scheduling, need Premier, and building custom forms and workflows takes setup time.

**Best for:** a solo pro who wants to design their own forms and automations and will pay for Premier to do it. Our [HoneyBook vs Dubsado comparison](https://clientworkhq.net/blog/honeybook-vs-dubsado/) goes further.

### 4\. Bonsai, best for freelancers who bill by the hour

Bonsai fits freelancers and small teams who track time against projects, and it is priced per user. Basic, $15 a user a month, covers time tracking and task management but not invoices. Essentials, $25 a user, adds invoices and payments, proposals and contracts, scheduling, forms and the client portal. Premium, $39 a user, adds client tasks and messaging, a deals pipeline and integrations including QuickBooks and Xero. Elite, $59 a user, adds custom permissions, with 3 users minimum. Billed yearly, the plans are $9, $19, $29 and $49 a user a month. The trial lasts 7 days. [Bonsai pricing](https://www.hellobonsai.com/pricing)

**Limitation:** every user is a paid seat, so the price climbs with each hire, and Basic has no invoices.

**Best for:** a freelancer or small team whose invoices come from tracked hours. Our [Bonsai review](https://clientworkhq.net/blog/bonsai-review/) covers its plans in detail.

### 5\. HubSpot, best for sales-led businesses

HubSpot fits businesses that win clients through a sales pipeline. Its CRM is free for up to 2 users, with contacts, deals, tasks and activities, and HubSpot says it is “100% free” with no expiration date, unlike a trial. Paid Starter lists at $20 a seat a month; on October 27 the pricing pages also showed a lower new-customer price, which HubSpot says can end at any time. Free tools carry HubSpot branding, which paid plans remove. [HubSpot CRM pricing](https://www.hubspot.com/pricing/crm), [HubSpot free CRM](https://www.hubspot.com/products/crm)

**Limitation:** it is a sales tool first. Proposals that become invoices and a client portal are not the center of the product, so check how they would work for your clients before you commit.

**Best for:** one or two people who sell through a pipeline and want a free CRM to start. Our [HubSpot alternatives guide](https://clientworkhq.net/blog/hubspot-alternatives/) covers what to pair it with or move to.

### 6\. SuiteDash, best for agencies that want a white-label portal

SuiteDash fits agencies that want a client portal under their own brand. It charges one price per plan, not per user: Start is $19 a month, Thrive $49 and Pinnacle $99, or $180, $480 and $960 a year billed yearly. Thrive adds its Dynamic Proposals Toolkit and deal-stage pipelines; Pinnacle adds the complete automation toolkit. SuiteDash is built for white labeling: your branding on the portal, a branded domain and login screen, and a custom-branded mobile app. Its 14-day free trial runs on Pinnacle, so you see every feature before you choose a plan. [SuiteDash pricing](https://suitedash.com/pricing/)

**Limitation:** proposals start on Thrive and the full automation toolkit on Pinnacle, and a tool this broad takes time to set up.

**Best for:** an agency that wants its own brand on the client portal at one flat price for the team.

## Client management software compared

| Tool | Best for | Starts at | Team pricing | What to watch |
| --- | --- | --- | --- | --- |
| Workspace369 | Small client-work teams | $29 a month, 1 seat | 2-seat plan $74, then $10 a seat | Texting and calls from the 2-seat plan; online booking from the $149 plan |
| HoneyBook | Solo creatives booking clients | $36 a month, Starter | Essentials: up to 2 team members | Automations, scheduler and QuickBooks Online start on Essentials ($59) |
| Dubsado | Solo pros who want custom forms and workflows | $335 a year, Starter | 3 additional users free, then user tiers | Scheduling and automated workflows are Premier only ($525 a year) |
| Bonsai | Freelancers and small teams billing time | $25 a user a month, Essentials | Every user is a paid seat | Basic ($15) has time tracking but no invoices |
| HubSpot | Sales-led businesses | $0 free CRM | Free for up to 2 users; Starter $20 a seat | A sales tool first; check proposals, invoices and a portal |
| SuiteDash | Agencies wanting a white-label portal | $19 a month, Start | One price per plan, not per user | Proposals toolkit on Thrive ($49); automation toolkit on Pinnacle ($99) |

## Client management software cost for a team of five

Price your team, not just yourself. These tools charge three ways: per plan, per user, or with seats included in the plan.

| People who need a login | Bonsai Essentials ($25 a user) | HubSpot Starter ($20 a seat, list) | SuiteDash Thrive (one price) | Workspace369 2-seat plan ($74, + $10 a seat) |
| --- | --- | --- | --- | --- |
| 1 | $25 | $20 (Free CRM: $0) | $49 | $74 (1-seat plan: $29) |
| 3 | $75 | $60 | $49 | $84 |
| 5 | $125 | $100 | $49 | $104 |

Monthly list prices, October 27, 2026; this is seat arithmetic, not a feature match. At five people, SuiteDash’s flat price is lowest, and per-user tools climb with every hire. HoneyBook and Dubsado are left out of the table because their team rules aren’t per seat: HoneyBook’s Essentials allows up to 2 team members and Premium ($129) is for bigger teams, while Dubsado includes 3 additional users free and then charges by team-size tier. Try your own numbers in the [software stack calculator](https://clientworkhq.net/tools/software-stack-calculator/).

Price the plan that has every feature you need, not the cheapest plan on the page.

## Client management software mistakes to avoid

1. **Choosing the cheapest plan.** It often lacks the one feature you bought the software for: automations, the portal or deposits.
2. **Ignoring team pricing.** A $25 seat is $125 at five people.
3. **Skipping the client side.** The portal, the proposal and the pay page are what your clients judge you by.
4. **Keeping the old tools running.** If the old spreadsheet stays, your team will keep using it. Move your client list on day one, then stop updating the old one.

## How to test client management software in a free trial

Trial lengths on October 27: HoneyBook 30 days (per its pricing FAQ), Dubsado 21 days on Premier, Bonsai 7 days, SuiteDash 14 days on Pinnacle and Workspace369 14 days (card required); HubSpot’s CRM is free with no expiration date. Use the trial on real work:

1. **Import ten real clients** from your spreadsheet.
2. **Send yourself a proposal,** accept it as the client, and pay the deposit if the plan supports it.
3. **Open the portal as the client.** Count the steps it takes to get in.
4. **Pay a test invoice** from your phone.
5. **Open one client record.** Is everything there: the proposal, the messages and the invoice? If you are still opening other apps to answer one question, keep looking.
6. **Check the export.** Leaving later should be a download, not a project.

Our [trial checklist](https://clientworkhq.net/tools/trial-checklist/) helps you run the same test on each finalist.

## Which client management software fits your business

| If you are… | Start with | Why |
| --- | --- | --- |
| Solo, booking clients with proposals and contracts | HoneyBook | Proposals, contracts and the portal on the $36 Starter |
| Solo, and you want to design your own forms and workflows | Dubsado | Workflows and scheduling on Premier ($525 a year) |
| A freelancer billing hours | Bonsai | Time tracking feeds invoices on Essentials, $25 a user |
| Sales-led, one or two people | HubSpot | Free CRM for up to 2 users |
| An agency that wants its own brand on the portal | SuiteDash | White-label portal from $19 for the whole plan |
| A small team that wants client, proposal, project and invoice on one record | Workspace369 | From $29; the 2-seat plan is $74 |

Pick by how you work, check the five jobs, price the whole team, and test it with real clients.

## Frequently asked questions

### What is client management software?

Software that runs the work after a client says yes: one record per client with a portal, proposals, projects, invoices, messages and tasks. A sales CRM focuses on winning the deal; client management software covers delivery and billing too.

### What is the best client management software for small business?

It depends on how you work: HoneyBook or Dubsado for solo booking, Bonsai for billing hours, HubSpot for sales first, and SuiteDash or Workspace369, our pick, for a team that needs a portal. Prices checked October 27, 2026.

### What is the difference between a CRM and client management software?

A CRM is built to win deals: leads, pipeline stages and follow-ups. Client management software is built to run the work after the yes: the portal, proposals, projects and invoices.

### Is there free client management software?

HubSpot’s CRM is free for up to 2 users, and Zoho CRM has a free edition for up to 3 users, but both are sales CRMs first. Most client-work tools with portals, proposals and invoices are paid and offer a free trial instead.

### Which client management software has a client portal?

HoneyBook (from $36), Dubsado (both plans), Bonsai (from Essentials, $25 per user), SuiteDash (built around a white-label portal, from $19) and Workspace369 (from $29) all list a client portal. Check what your client needs to get in: a link, a code or a full account.

### HoneyBook vs Dubsado: which is better?

HoneyBook suits solo creatives who want proposals, contracts and the portal on the $36 Starter plan. Dubsado suits pros who want custom forms and automated workflows, which need Premier ($525 a year).

### How much does client management software cost for a team of five?

At monthly list prices on October 27, 2026: Bonsai Essentials $125, HubSpot Starter $100, SuiteDash Thrive $49 and Workspace369’s 2-seat plan $104 (2 seats plus 3 extra at $10). Check that the plan you price has every feature you need.

### How do I switch client management software?

Export your client list as a CSV, import it into the new tool on day one, and stop updating the old list. Start every new client in the new tool.

## Next step: test one real client

Take one real client from proposal to paid invoice in your top two finalists, using the trial steps above. If one record holding the proposal, deposit, project, portal and invoice is what you need, start a [Workspace369 trial](https://workspace369.com/pricing/?utm_source=clientworkhq.net&utm_medium=referral&utm_campaign=best-client-management-software) (14 days, card required) and compare it with your runner-up.

## Make the demo prove something.

Use one sample project with invented client details. Add a reschedule or an extra revision after the proposal is accepted.

Record the agreed scope, price and client responsibilities. Assign the next action to a named person and set a due date. Change one part of the job and check who can see the revised agreement. Open the client-facing view and confirm that the next step is clear. Prepare an invoice and reconcile it with the agreed work. Ask a teammate to follow the project without your explanation. List the subscriptions you could retire only after this trial succeeds.
