THE SHORT ANSWER

ClickUp works well as an agency's delivery system: a space per service, a folder per client, a list per project, client review statuses and time tracking from Unlimited ($10 per user a month). It does not send proposals clients sign or invoices clients pay. Pair it with a client tool such as our pick, Workspace369 (Voyager, $74 for 2 seats).

**Next step:** [Workspace369 vs ClickUp ↗](https://workspace369.com/compare/clickup/?utm_source=clientworkhq.net&utm_medium=referral&utm_campaign=clickup-for-agencies&utm_content=answer). Plans start at $29 a month ($23.25 billed yearly). Cadet through Commander start with a 14-day free trial; a card is needed to start.

Our #1 pick is Workspace369. [Our editorial approach ↗](https://clientworkhq.net/about/#disclosure)

### What changed in this guide

- Nov 2, 2026 — Corrected a Workspace369 plan fact in the cost table: calls and texts start on Voyager, so the Voyager row now lists texting and calls (Workspace369 pricing page, read 2026-11-02).
- Nov 2, 2026 — Corrected a Workspace369 plan fact: Cadet through Commander start with a 14-day free trial (Workspace369 pricing page and its FAQ, read 2026-11-02).
- Oct 25, 2026 — Re-read ClickUp pricing on October 25, 2026: Unlimited ($10 a month, $7 billed yearly) and Business ($19, $12 billed yearly) unchanged; the Core test plans are still on the page.
- Oct 22, 2026 — Re-read ClickUp pricing on October 22, 2026, in a fresh browser: Unlimited and Business prices unchanged. ClickUp is testing new plans (Core), so some visitors see different prices; noted in the pricing sections.

The companion video reflects its original recording. This article carries the updates listed here.

ClickUp works well for agencies as the delivery system: one workspace for the agency, a space per service (or per large client), a folder per client, a list per project, and tasks for each deliverable. Add a client review status, a few custom fields, a template per service, time tracking and client guests, and the team always knows what is due and what is waiting on the client.

What ClickUp leaves out is the money side of client work: proposals clients accept and sign, invoices clients pay, a business phone with texting, and a client portal with billing. Most agencies pair it with a client tool. Our pick is Workspace369; HoneyBook is the other common split; and a small team can run delivery and billing in Workspace369 alone.

Prices checked October 8, 2026 on each vendor’s own pricing page (ClickUp re-checked October 25, 2026), in US dollars and billed monthly unless noted. ClickUp is testing new plans (Core); some visitors see different prices (checked Oct 25). This guide is based on published plans and limits, not a hands-on test of every ClickUp feature.

## Is ClickUp good for agencies?

For delivery, yes. ClickUp’s plans include unlimited tasks, board, list and calendar views, task checklists and dependencies on every plan, and Unlimited adds Gantt charts, native time tracking and guests with permission controls. Business adds 5,000 automation executions a month, timesheets and billable reports. [ClickUp pricing](https://clickup.com/pricing)

The limits show up where delivery meets the client’s wallet. ClickUp’s pricing page lists no proposals, invoicing or payments. That isn’t a flaw: ClickUp is a work tool, not a billing tool. Plan the money side before you call ClickUp your agency’s system.

## ClickUp setup for agencies: the hierarchy

ClickUp nests five levels: workspace, spaces, folders, lists and tasks. Map them to your agency like this.

| Level | Use it for | Example |
| --- | --- | --- |
| Workspace | The whole agency, once | Northside Studio |
| Space | A service, or one large client | Design, SEO, Paid ads, Internal |
| Folder | A client | Harbor Dental |
| List | A project, or one month of ongoing work | Website rebuild; October SEO work |
| Task | A deliverable | Homepage design |
| Subtask | A step inside the deliverable | Wireframe, first draft, revisions |

**One workspace, not one per client.** ClickUp bills per workspace and you upgrade the whole workspace, all members, so a workspace per client multiplies the bill. [ClickUp pricing FAQ](https://clickup.com/pricing)

**Service spaces or client spaces?** Service spaces (Design, SEO, Ads) make workload easy to see across every client. Client spaces suit an agency where each large account runs differently and has its own account manager. Pick one model and stick to it. Either way, keep an **Internal** space for sales, hiring and admin so client spaces stay clean. The free plan stops at 5 spaces, so plan the buckets first.

**Name things the way clients talk.** “Website rebuild” beats “Project 7”, especially once clients see their folder as guests.

## Statuses, custom fields and checklists

Use four statuses on every client list: **Brief**, **In progress**, **Client review**, **Done**. Client review matters most: it shows what is waiting on the client, not on you, and it is where approvals should live instead of a long email thread.

Add custom fields for the details you filter by:

| Custom field | Type | Why |
| --- | --- | --- |
| Client | Dropdown | Filter work across service spaces |
| Deliverable type | Dropdown | Design, copy, ad set, report |
| Estimate (hours) | Number | See a task running over before the invoice |
| Billable | Checkbox | Separate client time from internal time |

Use **checklists** for repeat steps such as a launch checklist, and **dependencies** so design waits for copy and copy waits for the brief. Both are on every plan.

## ClickUp templates for agencies: the structure to copy

Save two templates and every new client starts the same way.

**Client folder template** (one per client):

> **Folder: (client name)**
>
> - List: Onboarding (kickoff call, access and logins, brand assets, intake form)
> - List: (project name), from the service template below
> - List: Monthly reporting (recurring task, due on the 1st)
> - List: Admin (contract link, invoice notes, contacts)

**Project list template** (one per service you sell; a website rebuild here):

> **List: Website rebuild**
>
> - Task: Brief and sitemap (subtasks: kickoff notes, sitemap, client review)
> - Task: Copy (subtasks: draft, client review, final), waits on Brief
> - Task: Design (subtasks: wireframes, homepage, inner pages, client review), waits on Copy
> - Task: Build (subtasks: development, QA checklist)
> - Task: Launch (launch checklist, client sign-off, handover)

Build the list once on a real project, then save the finished list as a template. New client? Copy the folder, apply the service list, and the whole project appears in seconds. ClickUp’s template center also has ready-made agency templates, such as [agency management](https://clickup.com/templates/agency-management-t-90100000747).

**Automations for hand-offs.** A rule such as “when status changes to Client review, assign the account manager” removes a daily nudge. ClickUp lists 100 automation executions on Free, 1,000 on Unlimited and 5,000 a month on Business; email and SMS automation actions are on Business and Enterprise. ## ClickUp for marketing agencies

A marketing agency setup that holds up:

- **Spaces** for content, paid ads and SEO.
- **A folder per client** in each space you serve them from.
- **A list per month** of work, so October’s deliverables close out in October.
- **A content calendar** is the calendar view of that month’s list.
- **The monthly report** is a recurring task due on the first of the month.
- **Approvals** sit in the Client review status, not in email.

Our [CRM for marketing agencies guide](https://clientworkhq.net/blog/best-crm-for-marketing-agencies/) covers the client and billing side for SEO, PPC and social teams.

## ClickUp time tracking for agencies

Native time tracking starts on **Unlimited** ($10 per user a month billed monthly, $7 billed yearly), with notes, labels and billable time. On Free it is a trial. **Timesheets** and billable reports need **Business** ($19, or $12 yearly). [ClickUp pricing](https://clickup.com/pricing)

The workflow: start a timer on the task, entries stack up, mark them billable, then export the hours and enter them in your invoicing app. ClickUp doesn’t turn tracked time into an invoice your client pays. Two habits keep it accurate:

- Put an **estimate** on each task, so you see a project running over before the invoice does.
- **Review time every Friday**, while everyone still remembers the week.

## ClickUp client portal: guests, forms and email

ClickUp has no client portal product, but guests get you most of the way for delivery:

- **Invite the client as a guest** to their folder only, with view and comment access. Guest permission controls start on Unlimited. On Free Forever, ClickUp says guests get full create and edit permissions that can’t be changed.
- **Guest seats:** Unlimited includes 5 guest seats for a one-user workspace plus 2 per additional paid user; Business includes 10 plus 5 per additional paid user. Paid plans also allow read-only guests.
- **Intake:** a form view makes a decent client intake form. Free includes 1 form; Unlimited has unlimited forms.
- **Email in ClickUp** sends and receives email inside a task from Unlimited (a trial on Free).

So clients can follow their work and comment on it. They can’t see an invoice in ClickUp or pay one.

## ClickUp pricing: is ClickUp really free?

| Plan | Billed monthly | Billed yearly | Agency-relevant limits |
| --- | --- | --- | --- |
| Free Forever | $0 | $0 | 5 spaces, 60 MB storage, 1 form, 100 automation executions, time tracking as a trial, guests with full access |
| Unlimited | $10 per user a month | $7 per user a month | Unlimited spaces and forms, native time tracking, billable time, guest permissions, Email in ClickUp |
| Business | $19 per user a month | $12 per user a month | 5,000 automation executions a month, timesheets and billable reports, email and SMS automations |
| Enterprise | Contact sales | Contact sales | 250,000 automation executions, enterprise permissions |

Source: [ClickUp pricing](https://clickup.com/pricing), checked October 25, 2026. ClickUp’s AI plans are priced separately. ClickUp is testing new plans (Core); some visitors see different prices (checked Oct 25).

Yes, Free Forever is really free, with unlimited tasks and members. Agencies outgrow it quickly: 60 MB fills with a few design files, time tracking is a trial, and guests can’t be restricted. Because the whole workspace upgrades together, five people on Business cost $95 a month billed monthly, or $60 billed yearly.

## What ClickUp doesn’t do for agencies

Four jobs sit outside ClickUp’s plans:

1. **Proposals clients accept and sign.** A ClickUp Doc can hold the proposal, but there is no accept button or deposit. Contracts are the same: a Doc, then a separate signing app.
2. **Invoices and payments.** No pay link and no paid status, so someone creates the invoice in another app and updates ClickUp by hand.
3. **A business phone with texting.** On Business, automations can send texts through integrations such as Twilio. That is an alert, not a business number clients call and text. [ClickUp automations](https://clickup.com/features/automations)
4. **A portal with billing.** Guests see work, not what they owe.

## ClickUp plus a client tool: two splits

### ClickUp plus Workspace369

ClickUp runs delivery; Workspace369 runs the money side and client messages, with the same clients in both. Our #1 pick is Workspace369.

- **Proposals:** on every plan, clients accept and sign proposals through a link, and an accepted proposal turns into the invoice in one step. On every plan from Cadet ($29 a month), the client pays the deposit in the same step.
- **Time to invoice:** on every plan, start a timer on a project, stop it, bill the unbilled time, and it lands on the invoice, so hours aren’t retyped.
- **Portal with billing:** on every plan, share the project, the client verifies with a one-time code, sees progress, and pays the invoice there by card.
- **Phone and texting:** from Voyager, texting runs on a dedicated business number, and a missed call can send a text back automatically. Voice calls and voicemail start on Voyager too: clients call your business number and you answer in the browser. Specialist adds call recording and AI voicemail transcription. Dedicated SMS and voice numbers need a one-time $50 carrier setup.

Extra seats are $10 a month from Voyager, and Cadet through Commander start with a 14-day free trial (card required). [Workspace369 pricing](https://workspace369.com/pricing/?utm_source=clientworkhq.net&utm_medium=referral&utm_campaign=clickup-for-agencies), [Workspace369 vs ClickUp](https://workspace369.com/compare/clickup/?utm_source=clientworkhq.net&utm_medium=referral&utm_campaign=clickup-for-agencies)

### ClickUp plus HoneyBook

HoneyBook Starter ($36 a month, $29 yearly) lists invoices and payments, proposals and contracts, and a client portal, and HoneyBook’s proposals let a client book, sign and pay from a single file. Scheduling and automations come with Essentials ($59, $49 yearly), which allows up to 2 team members. Its Phone and SMS add-on is $8 a month for 300 texts and works with any HoneyBook plan. [HoneyBook pricing](https://www.honeybook.com/pricing), [HoneyBook Phone and SMS](https://www.honeybook.com/product/business-messaging)

The catch with any split: each client exists twice, and someone keeps both in sync. Zapier can connect them, but that is one more thing to watch.

## What each setup costs

Five people in ClickUp Business, monthly list prices on October 25, 2026:

| Setup | Billed monthly | Billed yearly | Includes |
| --- | --- | --- | --- |
| ClickUp Business + HoneyBook Essentials + Phone and SMS | $95 + $59 + $8 = $162 | $60 + $49 + $8 = $117 | Up to 2 HoneyBook team members, 300 texts |
| ClickUp Business + Workspace369 Voyager | $95 + $74 = $169 | $60 + $59.25 = $119.25 | 2 Workspace369 seats, texting and calls |
| ClickUp Business + Workspace369 Specialist | $95 + $149 = $244 | $60 + $119.25 = $179.25 | 10 Workspace369 seats, calls |
| Workspace369 Specialist alone | $149 | $119.25 | 10 seats, projects and billing together |

The HoneyBook add-on is shown at its monthly price in both columns. Count everyone who needs a login in each tool before you compare: Voyager includes 2 seats and HoneyBook Essentials allows up to 2 team members, so the client tool usually covers the account managers, not the whole team. Calls and texts start on Voyager.

For three people: ClickUp Business alone is $57 a month and covers delivery only; Workspace369 Voyager with one extra seat is $84 and covers projects, time and the money side. Our [software stack calculator](https://clientworkhq.net/tools/software-stack-calculator/) adds up your own mix.

## Keep ClickUp or use one tool?

Ask one question first: where do client details get retyped each week?

- **Heavy delivery** (Gantt charts, sprints, whiteboards, workload across many people): keep ClickUp and add a client tool for proposals, invoices and messages.
- **Billing pain** (clients can’t find invoices, hours retyped every month): add a client tool, whichever way you split.
- **Small team, simple delivery:** try one tool. Workspace369 projects have stages, owners, delivery status and tasks on a board on every plan, with no cap on projects, and Specialist covers ten people for $149.

Test the split on one real client with our [trial checklist](https://clientworkhq.net/tools/trial-checklist/) before you move everyone.

To run this on one real client, [start the Workspace369 14-day free trial](https://workspace369.com/pricing/?utm_source=clientworkhq.net&utm_medium=referral&utm_campaign=clickup-for-agencies&utm_content=closing).

## Frequently asked questions

### Is ClickUp good for agencies?

Yes, for delivery: spaces per service, folders per client, lists per project, client review statuses, templates and time tracking. It doesn’t handle proposals clients sign, invoices and payments, or business texting, so most agencies pair it with a client tool.

### Does ClickUp have a client portal?

Not as a product. You invite clients as guests to their folder, with permission controls from Unlimited; on Free, guests get full access you can’t restrict. Guests can follow and comment on work but can’t see or pay invoices in ClickUp.

### Does ClickUp have time tracking?

Yes. Native time tracking with billable time starts on Unlimited at $10 per user a month billed monthly ($7 yearly), and timesheets and billable reports need Business at $19 ($12 yearly). On Free it is a trial. Prices checked October 25, 2026.

### Is ClickUp really free?

Free Forever has no time limit, unlimited tasks and members, but 5 spaces, 60 MB of storage, 1 form, 100 automation executions and unrestricted guests. Agencies usually move to Unlimited or Business, and the whole workspace upgrades together.

### Can ClickUp do invoicing?

No. ClickUp’s plans don’t include invoices or payments. You can track billable time and export it, then invoice from an invoicing or client-work tool.

### ClickUp vs HoneyBook: which does an agency need?

They do different jobs. ClickUp runs project delivery; HoneyBook runs proposals, contracts, invoices, payments and a client portal from $36 a month. Many agencies use both, or one client-work tool that holds projects and billing together.
