### What changed in this guide

- Nov 2, 2026 — Corrected a Workspace369 plan fact: Cadet through Commander start with a 14-day free trial (Workspace369 pricing page and its FAQ, read 2026-11-02).

The companion video reflects its original recording. This article carries the updates listed here.

monday CRM is worth it for a sales team that lives in its pipeline: boards you shape without a developer, customizable pipelines on every plan, strong automations and AI agents built in. Check two things before you buy. First, seats are sold in buckets that start at 3, so even one person pays $54 a month on Basic. Second, after the client says yes, the work spreads out: quotes are PDFs you send yourself, invoices carry a link to your own payment page, and clients follow a shared board as guests. If the work after the sale is your business, Workspace369 starts at $29 a month.

Prices checked October 8, 2026 on each vendor’s own pricing page (monday re-checked October 25, 2026), as a US visitor, in US dollars and billed monthly unless noted; monday’s prices exclude tax and depend on your billing country. This review assesses monday CRM’s published plans, limits and help-center documentation; it is not a hands-on test. Team sizes and the client example are illustrative.

## What is monday CRM?

monday CRM is monday.com’s CRM for sales teams. monday describes it as “a platform for revenue teams to manage sales pipelines and customer relationships from pre- to post-sale.” It is built on boards: every lead, contact and deal is a row, and you add the columns you need. [monday CRM](https://monday.com/crm)

- **Pipelines.** A deal moves from new lead to proposal, to negotiation, to won. Customizable pipelines are on every plan, so the stages can match how you sell.
- **Deals and email.** Standard adds deal management, two-way Gmail and Outlook, and one timeline of every email, call, meeting and note for each person.
- **Automations.** When a status changes, the right person gets notified or the next step starts.
- **AI agents.** Every plan lists AI tools with usage limits, including a meeting notetaker, a lead sourcer agent and an outreach caller agent.

Dashboards pull boards together, and Pro adds sales forecasting. For a sales team that wants to shape its own process, that is a genuinely good toolkit.

## monday CRM pricing and seat minimums

| Plan | Billed monthly, per seat | Billed yearly, per seat a month | What it adds |
| --- | --- | --- | --- |
| Basic | $18 | $12 | Pipelines and boards; 1,000 contacts and deals |
| Standard | $25 | $17 | Deal management, two-way Gmail and Outlook, guests on shared boards |
| Pro | $41 | $28 | Sequences, mass email, time tracking, integrations |
| Ultimate | Custom quote | Custom quote | Post-sales management: client projects, collection tracking |

Source: [monday CRM pricing](https://monday.com/crm/pricing), checked October 25, 2026 with the Monthly toggle selected. Yearly billing is paid “in one upfront installment,” per monday’s FAQ.

**Seats come in buckets.** The “Choose team size” menu offers 3, 5, 10, 15, 20, 25, 30, 40, 50, 100 and 200+ seats, and the FAQ says “Plans start from 3 users.” You pay for the bucket, not your headcount:

| People who need a login | Seats you buy | Basic | Standard | Pro |
| --- | --- | --- | --- | --- |
| 1 to 3 | 3 | $54 | $75 | $123 |
| 4 | 5 | $90 | $125 | $205 |
| 6 to 10 | 10 | $180 | $250 | $410 |
| 11 | 15 | $270 | $375 | $615 |

Monthly list prices, October 25, 2026; this is bucket arithmetic for illustrative team sizes. A team of four on Standard pays for a fifth seat nobody sits in. Billed yearly, that same team pays $17 × 5 × 12 = $1,020, in one payment up front. Eleven people on Pro buy 15 seats, so four sit empty. Price your real headcount against the buckets before you pick a plan.

Every plan has a 14-day free trial (no credit card needed), and monday says qualified nonprofits can get discounted pricing.

## monday CRM plans: Basic vs Standard vs Pro

| What you get | Basic | Standard | Pro | Ultimate |
| --- | --- | --- | --- | --- |
| Active contacts and deals | 1,000 | 10,000 | 100,000 | No limit |
| Columns per board | 5 | 15 | 75 | No limit |
| Quotes and invoices a month | 20 | 50 | 250 | No limit |
| Custom automations a month | Not listed | 250 (on the plan card) | 25,000 | Enterprise-scale |
| Deal management, two-way email | No | Yes | Yes | Yes |
| Guests on shareable boards | No | Yes | Yes | Yes |
| Sequences and mass email | No | No | Yes | Yes |
| Time tracking | No | No | Yes | Yes |
| Aircall, DocuSign and PandaDoc | No | No | Yes | Yes |
| Client projects, collection status | No | No | No | Yes |

Sources: the plan cards and complete feature list on [monday CRM pricing](https://monday.com/crm/pricing) and [monday.com guests](https://support.monday.com/hc/en-us/articles/360000292500-How-to-share-projects-with-guests), checked October 8, 2026. One conflict on the page: Standard’s plan card lists 250 custom automations a month, while the complete feature list marks the Automations row from Pro. Confirm in the trial if Standard’s automations matter to you.

Basic is limited: five columns per board goes fast once you add a status, a value, a date and an owner. Every plan below Ultimate caps quotes and invoices per month, and the post-sale tools (client projects, account management, collection tracking) sit on Ultimate, the custom-priced plan. Pro, the plan monday labels most popular, is where sequences, time tracking and the main integrations live.

## How to set up monday CRM for client work

If you choose monday, set it up around the client journey from day one:

1. **Name the stages for your work:** Inquiry, Proposal sent, Signed, Deposit paid.
2. **Add a catalog board for your services,** so quotes pull names and prices from it.
3. **Plan your columns before you build** if you are on Basic; five per board is the limit.
4. **Make one quote template and one invoice template** with your terms and payment link.
5. **Create a delivery board for projects** and a shareable board for each client (guests start on Standard).
6. **Add one automation:** when a deal moves to Won, notify whoever runs delivery.

## Where monday CRM stops for client work

The sale is monday CRM’s strong side. For a service business, the client saying yes is the middle of the job, not the end. Check four jobs after the yes:

| Job after the yes | How monday CRM handles it | Plan |
| --- | --- | --- |
| 1\. The proposal | A quote from a template, downloaded as a PDF that you send yourself | Every plan, capped per month |
| 2\. The invoice | An invoice template with an optional Payment button that links out | Every plan, capped per month |
| 3\. Client access | The client joins a shareable board as a guest | Standard and up |
| 4\. Calls and texts | Aircall integration, Twilio through automations, an outbound AI caller | Aircall on Pro; AI agent in beta, US only |

What the help center says, in monday’s words:

- **Proposals.** You “Create and download to PDF” and “send the PDF off through your preferred method of communication.” The same article notes that “Quotes & Invoices does not yet have the ability to collect and store countersigned documents” and suggests uploading the signed PDF to a Files column. DocuSign and PandaDoc integrations are on Pro, each with its own subscription. [Quotes & Invoices](https://support.monday.com/hc/en-us/articles/21050405375762-The-new-Quotes-Invoices)
- **Invoices.** With the Payment button turned on, “you can add a link to your preferred payment platform.” Under future plans: “We’re working on adding the ability to integrate with external payment platforms.” Collection tracking, to see who owes what, is an Ultimate feature. Set up your payment page first, then paste its link into the template.
- **Client access.** Guests “can only be invited to Shareable Board/s” and “will NOT be able to view information on Main or Private Boards.” It is a shared board, not a portal with invoices to pay. [Guests](https://support.monday.com/hc/en-us/articles/360000292500-How-to-share-projects-with-guests)
- **The phone.** The Twilio integration reaches clients by phone call and SMS through automations and needs your own Twilio account. [Twilio integration](https://support.monday.com/hc/en-us/articles/360001310940-Twilio-Integration) The AI Sales Agent is “currently in BETA and only available in the U.S.,” runs on AI credits, and “Inbound calls are not supported (outbound only).” [AI Sales Agent](https://support.monday.com/hc/en-us/articles/31002285812882-monday-CRM-AI-Sales-Agent)

## One client in monday CRM, start to finish

Take an illustrative wedding client. Once the deal is won, the quote becomes a PDF you email, the signed copy goes into a Files column, and the invoice carries your pay link. The payment happens on your payment platform, outside monday, so you update the status by hand. Then the work moves from the won deal to a delivery board, and the couple follows a shareable board as guests. It works. It is just several places to keep in sync: the PDF, the payment page, the status column and the board.

## monday CRM pros and cons

**Pros**

- Boards and pipelines you shape yourself, without a developer
- Strong automations, with 25,000 custom automations a month on Pro
- AI agents built in on every plan, with usage limits
- Deal management and two-way Gmail and Outlook from Standard

**Cons**

- A three-seat minimum, and seats sold in buckets above it
- Tight limits on Basic: 1,000 contacts and deals, 5 columns per board, 20 quotes and invoices a month
- Quotes and invoices capped per month below Ultimate
- Post-sale tools (client projects, collection tracking) on the custom-priced Ultimate plan

## Who should use monday CRM

**Pick monday CRM if** selling is the main job, your team already works in monday.com, or you want AI agents for outreach. If you already run projects on monday boards, staying keeps it together.

**Look elsewhere if** you are one or two people (you still buy three seats), clients should sign and pay online in one step, or clients need one place for files, progress and invoices.

## What to test in the monday CRM free trial

Run one real client through the 14 days:

1. **Count your seats in buckets.** Write down the bucket your team lands in and its monthly and yearly cost.
2. **Build your real pipeline** with the stages you actually use.
3. **Send one quote and one invoice** to yourself, with your logo, terms and payment link.
4. **Open what your client sees:** the PDF, the payment page and the shareable board, on a phone.
5. **Invite a test client as a guest** and check what they can and cannot see.
6. **Test your phone setup** if calls or texts matter: Aircall needs Pro, Twilio needs its own account.

If that feels like several tools stitched together, compare a client-work tool with the same test. Our [trial checklist](https://clientworkhq.net/tools/trial-checklist/) keeps the comparison even.

## A monday CRM alternative for client work

If the work after the sale is the business, start with a client-work tool instead of a sales CRM.

Our #1 pick is Workspace369. It keeps the proposal, the project, the client portal and the invoice on one client record:

- **Proposals clients accept and sign through a link,** on every plan. With Stripe connected, accepting and paying the deposit is one step, on every plan.
- **Follow-up as a workflow:** when a proposal is sent, a check-in goes out two days later, switched on once. Email workflows are on every plan, up to 3 active on Cadet.
- **A client portal:** the client gets a link, verifies their email and sees progress, files and the invoice, ready to pay.
- **Invoices paid online:** the client pays by card from the invoice link, and your workspace shows it paid.
- **Messages and calls:** on Voyager, email and texts land in one thread with a summary, you can reply by text, and calls and voicemail are built in. Specialist adds call recording and AI voicemail transcription.

Cadet is $29 a month for 1 seat; Voyager is $74 with 2 seats (extra seats $10 a month); Specialist is $149 with 10 seats; Commander is $299 with 20 seats. Cadet through Commander start with a 14-day free trial (card required). [Workspace369 pricing](https://workspace369.com/pricing/?utm_source=clientworkhq.net&utm_medium=referral&utm_campaign=monday-crm-review), [Workspace369 vs monday CRM](https://workspace369.com/compare/monday-com/?utm_source=clientworkhq.net&utm_medium=referral&utm_campaign=monday-crm-review)

## monday CRM vs Workspace369 cost

| People | monday Basic | monday Standard | monday Pro | Workspace369 |
| --- | --- | --- | --- | --- |
| 1 | $54 | $75 | $123 | $29 (Cadet) |
| 4 | $90 | $125 | $205 | $94 (Voyager + 2 seats) |
| 10 | $180 | $250 | $410 | $149 (Specialist, 10 seats) |

Monthly list prices: monday October 25, 2026, Workspace369 October 8, 2026. monday prices use its seat buckets (3, 5 and 10 seats here); Voyager is $74 for 2 seats plus $10 for each extra seat. Billed yearly, ten people on monday Standard pay $170 a month, paid up front for the year; Workspace369 Specialist is $119.25 a month billed yearly. This is seat arithmetic, not a feature match. Try your own numbers in the [software stack calculator](https://clientworkhq.net/tools/software-stack-calculator/).

To be fair, monday’s AI agents and flexible boards go further on the sales side. If your growth comes from outbound selling, that matters more than the seat math.

## Is monday CRM worth it?

For a sales team, yes. The pipelines are easy to shape, the automations are strong, and the AI agents are real extras. It shines when the sale is the business, delivery lives elsewhere, and you like building your own boards.

For client work, price the job after the sale too. Before you buy: count your seats in buckets, find the cheapest plan that has your must-haves, and run one real client through the trial from quote to paid invoice. Our [HubSpot alternatives guide](https://clientworkhq.net/blog/hubspot-alternatives/) and [CRM guide for marketing agencies](https://clientworkhq.net/blog/best-crm-for-marketing-agencies/) compare more options.

To run this on one real client, [start the Workspace369 14-day free trial](https://workspace369.com/pricing/?utm_source=clientworkhq.net&utm_medium=referral&utm_campaign=monday-crm-review&utm_content=closing).

## Frequently asked questions

### Is monday CRM worth it?

For a sales team that lives in its pipeline, yes: customizable pipelines, strong automations and built-in AI agents. For a client-work business, check the seat buckets and the four jobs after the sale (proposals, invoices, client access and calls) before you buy.

### How much does monday CRM cost?

Billed monthly, Basic is $18, Standard $25 and Pro $41 per seat a month; billed yearly, $12, $17 and $28. Ultimate is a custom quote. Seats come in buckets starting at 3, so the smallest bill is $54 a month on Basic. There is no free plan, only a 14-day free trial. Prices checked October 8, 2026.

### Does monday CRM have a minimum number of seats?

Yes. monday’s FAQ says “Plans start from 3 users,” and the team-size menu sells 3, 5, 10, 15, 20, 25, 30, 40, 50, 100 and 200+ seats. One person pays for three seats, and a team of four pays for five.

### What is the difference between monday CRM Basic and Standard?

Basic covers pipelines and boards with 1,000 contacts and deals, 5 columns per board and 20 quotes and invoices a month. Standard adds deal management, two-way Gmail and Outlook, guests on shareable boards, 10,000 contacts and deals, 15 columns and 50 quotes and invoices a month.

### Can clients sign and pay in monday CRM?

Not directly. Quotes download as PDFs you send yourself, and monday’s help center says Quotes & Invoices cannot yet collect countersigned documents. Invoices can carry a Payment button that links to your own payment platform. DocuSign and PandaDoc integrations are on Pro.

### Does monday CRM have a client portal?

Not as a portal with invoices to pay. Clients can join a shareable board as guests from Standard, and guests only see the boards they are invited to.

### monday CRM vs Pipedrive: which costs less?

Per seat, monday Standard ($25) costs less than Pipedrive Growth ($49), both billed monthly. But monday sells seats in buckets from 3, so one person pays $75 a month on Standard, while Pipedrive prices each seat on its own. Prices checked October 8, 2026.
