THE TAKEAWAY

## Watch it. Put it to work.

For a freelancer who only sends invoices, start free with Wave Starter or Zoho Invoice. For real accounting, pick FreshBooks (Lite $23 a month, 5 billable clients) or QuickBooks. Our #1 pick is Workspace369, from $29 a month, for proposals, contracts, invoices and a client portal in one brand.

The best invoicing software for freelancers depends on one question. Do you only send invoices, or run the whole client job? I compared six tools on their published plans and features. This isn't a lab test. It's what each company says you get, with the date.

I'll show where each of the others wins, and where it falls short, and you decide. Stay to the end for a one-minute checklist that picks the tool for you. First, what you pay. These are list prices from each pricing page, checked October thirteenth, twenty twenty-six. Wave's Starter plan is free, with invoices and bookkeeping.

Zoho Invoice is free too, up to five hundred invoices a year. FreshBooks Lite is twenty-three dollars a month, capped at five billable clients. QuickBooks Simple Start is thirty-eight. Bonsai Essentials is nineteen dollars a month billed yearly, and Workspace369 is twenty-nine a month. So if all you need is a clean invoice and the lowest bill, start with the free ones.

Honestly. Price is only half the story, though. What matters is what each plan leaves out. So here's what to check on the free ones. Wave's free plan leaves out late-payment reminders and bank import.

Those sit on its Pro plan, nineteen dollars a month. Zoho's free plan allows two users and five hundred invoices a year, and it carries Zoho branding. FreshBooks has no free plan at all, only a trial, so you decide with a real invoice in front of you. Before you pick a free plan, ask what happens on invoice five hundred and one. Next question.

What does your client see when they open the invoice? That page is your brand. It shows your logo, your colors, the amount due, and a pay button. Your client should never wonder what to do next. Amount due, due date, and one button.

That is the whole page. On Workspace369, the client opens one link and pays on that page. No account, nothing to install. Pick a template, add your logo and accent color, and the invoice looks like you, not like your software. And on a phone?

The same page opens there, and it reads fine at that size. Here's the same invoice in a sidebar layout. And in a bold one. One choice, set once. Third question.

Do you bill the same client every month? Recurring invoices matter if you run a retainer. Set the schedule once, and the invoice goes out on its own. On Workspace369, recurring invoices are on every plan, and autopay charges the card when the client turns it on. FreshBooks has recurring invoices on every plan, including Lite.

That is a real strength, so give it a fair look. Fourth question. Do you bill by the hour? Then tracked time should land on the invoice without retyping it. In Workspace369, you add unbilled time to an invoice from the editor, so the hours become line items.

Bonsai and FreshBooks both include time tracking too, so check how each one turns those hours into an invoice. Fifth question. What happens when a client pays late? Workspace369 can add a late fee for you, after a grace period that you choose, and you can cap the fee. Wave's reminders are on Pro.

FreshBooks has late fees and reminders on every plan, which is generous for twenty-three dollars. Nobody enjoys chasing money. Pick the tool that does the chasing for you. Where are the others stronger? QuickBooks is full accounting software, so if a bookkeeper runs your books, it belongs on your list.

FreshBooks puts recurring invoices, late fees, deposits and time tracking on every plan. And Wave is the best free start. Bonsai gives a freelancer the whole client flow for a low price. Those are real strengths. Where Workspace369 differs is the client side: proposal, contract, invoice and portal, in one brand.

So here's the checklist. Only invoices, lowest price? Wave or Zoho Invoice. Real accounting? QuickBooks or FreshBooks.

A full client flow at a low price? Bonsai. Invoices that match a proposal, a contract, retainers and time, in your brand? Workspace369. Whichever you pick, send one real invoice through it before you move everyone over.

And check the date on any price you read. They change, and I checked these on October thirteenth. Workspace369 covers the whole client job, from the proposal to the invoice to the portal, not just the invoice. There's a fourteen-day free trial, and the link is in the description. Next up, FreshBooks versus Wave.

It's on screen now.
