The best CRM with workflow automation for a small client-work business is one that can start a follow-up from every moment of the job: the inquiry, the proposal, the appointment and the unpaid invoice. Our pick is Workspace369, which we make, with email workflows from $29 a month and text message steps from $74. Zoho CRM is the free option for a sales team of up to 3 users, Plutio ($19) and Moxie ($25) are the cheapest paid client-work plans with automation, and Dubsado and HoneyBook suit a booking-style process.

Prices checked October 7, 2026 on each vendor’s own pricing page, in US dollars and billed monthly unless noted. This is an assessment of published plans, not a hands-on test of every product.

What is CRM automation?

CRM automation means the software does a follow-up when something happens, so you don’t have to remember it. Every workflow is built from four parts:

  • Trigger: the event that starts it, such as a form submitted, a proposal sent or an invoice going overdue.
  • Conditions: the checks that decide whether it runs, such as “only if the invoice is still unpaid”.
  • Waits: the pause between steps, from minutes to days.
  • Actions: what it does, such as send an email or text, create a task or notify a teammate.

Sales CRMs such as Zoho CRM and HubSpot are built around leads and deals. Client-work tools such as Workspace369, Dubsado, HoneyBook, Plutio and Moxie also hold proposals and invoices, so a signature or a payment can start a workflow too.

CRM workflow examples for client work

These five cover most of the follow-up done by hand.

1. New lead reply. Trigger: an inquiry form is submitted. Condition: the lead picked a service you offer. Action: an immediate reply with your next step, plus a task for you to call within a day.

2. Proposal follow-up. Trigger: a proposal is sent. Condition: not yet accepted. Wait: 2 days. Action: a short check-in email, then a task to call if it is still open 5 days later.

3. Onboarding welcome. Trigger: the client accepts the proposal or moves into an Onboarding stage. Action: a welcome email with the next steps and your questionnaire, plus a kickoff task for the team.

4. Appointment confirmation. Trigger: an appointment is booked. Action: a confirmation right away. Wait: until 1 day before. Action: a reminder by email, or by text if your plan sends texts.

5. Overdue invoice sequence. Trigger: the due date passes. Condition: still unpaid, checked before every step. Waits: 1, 7 and 30 days overdue. Actions: a friendly reminder, a firmer email, then a task to call. The condition is the stop rule, so a client who has paid is never chased.

How to choose a CRM with workflow automation

Compare these four things:

  • The plan where automation starts. Dubsado and Moxie leave workflows off their entry plans, and HoneyBook’s Starter only automates pipeline stages, so the real price is one tier up.
  • What limits automation. Look for active-workflow caps (Workspace369), monthly workflow-action allowances (Plutio), team-member limits (HoneyBook Essentials, Moxie Teams) and per-user pricing (Zoho CRM’s paid editions).
  • Which events and channels count. A client-work tool should react to proposals, invoices and payments. If clients text you, check whether a step can send a text, and on which plan.
  • Whether you can test before going live. A test run on a sample record catches a wrong name or date before a client sees it.

A note on HubSpot. HubSpot’s free CRM covers up to two users and 1,000 contacts, and Starter is $20 a month per seat at the regular monthly price. Its workflows tool, though, needs a Professional or Enterprise plan. HubSpot free CRM, HubSpot Starter pricing, HubSpot workflows. Our HubSpot alternatives guide covers that decision.

1. Workspace369: our pick for client work, start to paid

Our #1 pick is Workspace369, and we make it. Workflows run on every plan within an active-workflow cap: up to 3 on Cadet ($29 a month, 1 seat, email steps only), 10 on Voyager ($74, 2 seats), 25 on Specialist ($149, 10 seats) and unlimited workflows on Commander ($299, 20 seats). Text message steps start on Voyager. On Commander, Workspace AI drafts workflows for you to review. Workspace369 pricing

There are 9 trigger types: scheduling, client, invoice, payment, proposal, task, lead, call and time (call triggers need a plan with voice calls, from Specialist). Add scheduled-time triggers, conditional filters, waits from minutes to days, unlimited steps, internal notifications and task creation. Templates include new lead welcome, proposal review follow-up, welcome pack on onboarding, appointment confirmation and invoice collection at 1, 7 and 30 days overdue.

Readiness checks flag incomplete setup, and a simulated test run on a sample record or a real record shows what each step would do, with execution logs for every run. Because proposals, invoices and payments live in the same app, a proposal accepted or an invoice paid can start the next step. Every plan has a 14-day free trial. The other five, ranked

2. Dubsado workflows

Premier, $55 a month or $525 a year, adds automated workflows (Dubsado calls them Flows), along with scheduling, public proposals, unlimited lead capture forms, Zapier and QuickBooks Online. Starter, $35, does not include them. Both plans include 3 additional users, and the 21-day trial runs on Premier. Dubsado says these rates apply to new subscribers from December 1, 2025. 3. HoneyBook automations

Automations start on Essentials, $59 a month ($49 billed yearly), together with the scheduler, QuickBooks Online, SMS reminders and up to 2 team members. Starter ($36) includes pipeline automations that move projects between stages, but not the full automations, and Premium ($129) removes the team-member limit. HoneyBook’s feature list also includes an AI automations builder that drafts a workflow from a description of your process. The trial lasts 30 days. HoneyBook pricing

It suits owners who want a guided start. Our HoneyBook alternatives guide covers the tradeoffs.

4. Plutio automations

Plutio meters automation in monthly workflow actions. Core, $19 a month, is for solo work: 9 active clients, no additional contributors and 900 workflow actions. Pro, $49, removes the client cap and includes 30 contributors and 5,500 actions. Max, $199, has no contributor cap and 50,000 actions. The trial is 7 days. Plutio pricing

5. Moxie automations

Workflow automations start on Pro, $25 a month ($20 billed yearly). Pro also adds a white-labeled client portal, a Communicator phone line (US, Canada and UK), QuickBooks and integrations such as Zapier and webhooks. Starter, $12, has no automations, and Teams, $40, adds up to five team members. The trial is 14 days. Moxie pricing Our Bonsai vs Moxie vs 17hats vs Plutio comparison covers Moxie and Plutio in more depth.

6. Zoho CRM workflow automation

Paid editions are priced per user: Standard $20, Professional $35 and Enterprise $50 a month billed monthly, or $14, $23 and $40 billed annually. Zoho CRM pricing It fits lead and deal follow-up better than proposal-to-invoice client work.

Best free CRM with automation

Zoho CRM is the free answer: its free edition includes workflow automation for up to 3 users. For the client-work tools here, the free route is a trial: HoneyBook 30 days, Dubsado 21 (on Premier), Workspace369 and Moxie 14, and Plutio 7.

Cheapest CRM with automation

  • Moxie Pro: $25.
  • Workspace369 Cadet: $29, 1 seat and up to 3 active email workflows.
  • Dubsado Premier: $55.
  • HoneyBook Essentials: $59.

Workspace369 adds text message steps on Voyager, $74 a month for 2 seats. Plutio Core’s 900 actions and Cadet’s 3 workflows suit a solo business with a few automations, not a busy team.

CRM automation workflow design: build your first workflow

  1. Start with the overdue invoice and the new lead reply. Both repeat on every job and are easy to check: the invoice gets paid, the lead gets an answer.
  2. Use one trigger per job. A workflow that starts from one event is easier to trust and to fix.
  3. Write each message the way you would type it, with the client’s first name and one next step.
  4. Add waits. A reminder should land days after the due date, not seconds after the invoice goes out.
  5. Add a stop condition. Stop when the invoice is paid or the proposal is accepted, so nobody is chased twice.
  6. Test on a sample record before switching it on. Check the trigger, the wording, the timing and the stop rule.
  7. Review the execution logs weekly for steps that ran when they should not have, or never ran.
