Pipedrive Review 2026 for Service Businesses: Great Pipeline, Then What?

Pipedrive review for service businesses: $24 to $99 a seat, add-ons from $13.33, what Premium includes, and the five jobs that leave Pipedrive after a deal is won.

Video companion: Pipedrive Review 2026 for Service Businesses: Great Pipeline, Then What?▶ Watch the walkthrough 8:20
THE SHORT ANSWER

Pipedrive is one of the clearest sales CRMs: one pipeline of deal cards, activities, reminders and deal rotting. Seats cost $24, $49, $79 or $99 a month billed monthly ($14, $39, $59 or $79 billed annually). After the sale, Smart Docs and Projects are paid add-ons below Premium, and invoices go through QuickBooks Online.

Next step: Workspace369 vs Pipedrive ↗. Plans start at $29 a month ($23.25 billed yearly). Cadet through Commander start with a 14-day free trial; a card is needed to start.

Our #1 pick is Workspace369. Our editorial approach ↗

What changed in this guide
  • — Corrected a Workspace369 plan fact: Cadet through Commander start with a 14-day free trial (Workspace369 pricing page and its FAQ, read 2026-11-02).

The companion video reflects its original recording. This article carries the updates listed here.

Pipedrive is good for a service business at one job: selling. Its pipeline is excellent, with each deal a card you drag from stage to stage, activities and reminders on every deal, and a warning when a deal goes quiet. After the deal is won, though, the work spreads across add-ons and other apps: proposals need Smart Docs, delivery needs Projects, invoices go through QuickBooks Online and calls need a calling app. If the work after the sale is your business, Workspace369 starts at $29 a month.

Prices checked October 8, 2026 (Pipedrive re-checked October 27, 2026) on each vendor’s own pricing page, as a US visitor, in US dollars and billed monthly unless noted; Pipedrive’s prices exclude tax. This review assesses Pipedrive’s published plans, add-ons and Knowledge Base articles; it is not a hands-on test. The consultancy and team sizes are illustrative.

Jump to pricing, add-ons, after the deal is won, Pipedrive vs monday CRM or the verdict.

What Pipedrive does well

Pipedrive is a sales CRM built around one screen: your pipeline.

  • Deal cards. Each deal is a card. Qualified, proposal, negotiation, won: you drag it along.
  • Activities. Calls, emails and meetings sit on each deal, with reminders, so the next step is always visible.
  • Deal rotting. Pipedrive flags a deal that “stays idle for longer than the defined rotting period.”
  • Every plan also includes a Leads Inbox, a products catalog, Pipedrive Nova (a brief before each meeting, and call recording with summaries and transcripts), a Marketplace of 500+ integrations and Pipedrive MCP for connecting an AI assistant.
  • From Growth: automations, sequences, two-way email sync and a meeting scheduler.

For a sales team, it is one of the clearest CRMs to run. Pipedrive pricing

Pipedrive pricing

Plan Billed monthly, per seat Billed annually, per seat a month What it adds
Lite $24 $14 ($168 a year) Pipelines, leads, calendar, Nova meeting notes, 500+ integrations
Growth $49 $39 ($468 a year) Email sync with tracking, automations, sequences, meeting scheduler
Premium $79 $59 ($708 a year) LeadBooster, Smart Docs and Projects included; lead scoring
Ultimate $99 $79 ($948 a year) Security rules, data enrichment, sandbox, extended phone support

Source: Pipedrive pricing, checked October 8, 2026 and re-checked October 27, 2026 with “Billed monthly” selected. Pipedrive says annual billing saves “up to 42%,” charged once for the whole year. Every plan has a 14-day free trial (no credit card required).

Prices are per seat, so the bill grows with every person you add:

People Growth, billed monthly Premium, billed monthly Premium, billed annually
1 $49 $79 $59 a month
3 $147 $237 $177 a month
5 $245 $395 $295 a month

Monthly list prices, October 8, 2026; seat arithmetic for illustrative team sizes, before any add-ons.

Pipedrive add-ons: Campaigns, Smart Docs, Projects and LeadBooster

Add-on Starting from Included on What it does
Campaigns $13.33 Not included Email marketing: drag-and-drop builder, CRM segments, analytics
Projects $16 Premium, Ultimate Task boards and project tracking after a deal closes
Smart Docs $32.50 Premium, Ultimate Trackable quotes, proposals and contracts with signatures
LeadBooster $32.50 Premium, Ultimate Chatbot, live chat, web forms and Prospector
Web Visitors $41 Not included Shows which companies browse your website

Source: the “Starting from” prices and the Compare plans table on Pipedrive pricing, checked October 8, 2026, re-checked October 27, 2026. The page does not say whether these starting prices are monthly or annual, and they did not change with the billing toggle. Pipedrive’s help center says “Add-ons are billed according to the billing cycle of your selected plan.” How pricing works

The practical rule: on Lite or Growth, Smart Docs and Projects are extra; on Premium they come included. If you need both, price Premium before you price Growth plus two add-ons.

Do you need LeadBooster and Campaigns?

LeadBooster adds a chatbot, live chat, web forms and Prospector, a lead database; its page says it starts “from $32.50 per month per company.” LeadBooster Campaigns is email marketing with a drag-and-drop builder, segments from your CRM and analytics. Most service businesses need a good contact form more than a lead database. Buy these when outbound prospecting or newsletters are part of how you win work, not by default.

How to set up Pipedrive for a service business

  1. Name the stages for your work: Inquiry, Discovery call, Proposal sent, Won.
  2. Add your services to the products catalog, so every deal carries a real value.
  3. Set a rotting period that matches your sales cycle, so a quiet deal turns into a nudge.
  4. On Growth, add one automation: when a deal is won, create a kickoff activity and send a welcome email.
  5. Connect QuickBooks Online and a calling app before the first client signs, so invoices and calls are ready.

After the deal is won: five jobs for a service business

For a sales team, Won is the finish line. For a service business, it is where the work starts. Here is where each job lives in Pipedrive:

Job after the sale Where it lives Plan or cost
1. The proposal Smart Docs Included on Premium; add-on on Lite and Growth
2. The project Projects Included on Premium; add-on on Lite and Growth
3. The invoice QuickBooks Online integration Your QuickBooks subscription, priced separately
4. Client updates Shared project report PDFs (beta) Projects; no client portal on the plan list
5. Calls and texts A Marketplace calling app The calling app’s own subscription

1. The proposal. Smart Docs sends trackable quotes, proposals and contracts from the deal, notifies you when recipients open them, and requests electronic signatures. Documents are stored in Google Drive, Microsoft OneDrive or SharePoint, so connect one first. In the trial, sign one test document from your client’s side. Smart Docs

2. The project. “As soon as a deal closes, you can generate an AI-assisted project brief using your deal’s emails, notes and files,” which your team then reviews. Projects adds task boards, dependencies and Gantt timelines in beta. Projects by Pipedrive

3. The invoice. The QuickBooks integration, for QuickBooks Online only, creates invoices from the deal and brings back their status, “so you’ll know exactly when they’re paid or overdue.” Invoicing runs in your accounting app, which you pay for separately. When you connect it, set the due date and the default tax rate. QuickBooks integration

4. Client updates. Projects can generate and share AI-written project report PDFs, in beta. Pipedrive’s plans don’t list a client portal, so updates go out as files and emails.

5. Calls and texts. Pipedrive’s help center says it “doesn’t have a built-in calling integration”; you add a Marketplace app such as Aircall or JustCall, both of which also handle texts. On mobile, texting opens your phone’s own messaging app. Calling in Pipedrive

Five jobs, spread across plans and apps. Plan those handoffs before you buy.

Pipedrive for a small consultancy: the real bill

Picture an illustrative three-person consultancy that needs proposals and projects. On Premium both are included: 3 seats × $79 = $237 a month billed monthly, or $177 a month billed annually. Then add an accounting app for invoices and a calling app for the phone, each priced by its own company. Every handoff, from the won deal to the invoice to the payment, crosses an app. Each one works; you are the one who keeps them in sync.

Pipedrive vs monday CRM

People often compare Pipedrive with monday CRM. The short version, billed monthly, checked October 8, 2026:

Pipedrive monday CRM
Plan with two-way email Growth, $49 a seat Standard, $25 a seat
How seats are sold Per seat; no minimum shown on pricing page Buckets from 3 seats (3, 5, 10, 15 and up)
One person on that plan $49 $75 (three seats)
Quotes and documents Smart Docs, included from Premium Quotes and invoices on every plan, capped per month
Taking the payment Through the QuickBooks Online app A pay button that links to your payment page
Client access No client portal on the plan list Guests on shareable boards, from Standard

Sources: Pipedrive pricing and monday CRM pricing. Pipedrive charges for each seat, so a solo seller pays for one; monday’s FAQ says its plans “start from 3 users.” Neither one takes the payment itself or gives clients a portal.

Pipedrive pros and cons

Pros

  • A pipeline that is easy to run and quick to learn
  • Activities and reminders on every deal, plus deal rotting
  • Nova meeting notes on every plan
  • A Marketplace with 500+ integrations

Cons

  • Per-seat prices that climb with every person
  • Smart Docs, Projects and LeadBooster on Premium or as add-ons
  • Invoicing through a separate accounting app
  • No built-in calling; calls run through another app

Who should use Pipedrive

Pick Pipedrive if you run a sales team, deals move through clear stages, and your people live in activities and follow-ups. If you already love a separate delivery tool, Pipedrive for selling plus that tool fits well.

Look elsewhere if the work after the sale is the business, clients should pay from one link, or you want calls and texts built in.

What to test in the Pipedrive free trial

  1. Win a test deal in your real pipeline, with your real stages.
  2. Send the proposal through Smart Docs (on Premium, or the add-on’s own trial) and sign it from the client’s side.
  3. Create the invoice from the deal through QuickBooks Online and check the status that comes back.
  4. Open what the client sees: the document link, the invoice and any project report.
  5. Make a call through the calling app you would actually use.
  6. Write down where each step lives and what each app costs.

A Pipedrive alternative for service businesses

For a service business, the job after the yes is most of the work. Our #1 pick is Workspace369. It runs that whole job in one app:

  • Proposals clients accept and sign through a link, on every plan. With Stripe connected, the client accepts, signs and pays the deposit in one step, on every plan.
  • Projects with tasks on a board; finishing a task updates the progress.
  • Time to invoice on every plan: run a timer, pick the unbilled time, and it lands on the invoice at your rate.
  • A client portal: the client gets a link, verifies their email and sees progress, files and the invoice, ready to pay by card.
  • Phone: texting, calls and voicemail start on Voyager, including an automatic text back when you miss a call. Specialist adds call recording, call queues and AI voicemail transcription.
  • Email workflows on every plan, up to 3 active on Cadet.

Cadet is $29 a month for 1 seat; Voyager is $74 with 2 seats (extra seats $10 a month); Specialist is $149 with 10 seats; Commander is $299 with 20 seats. Cadet through Commander start with a 14-day free trial (card required). Workspace369 pricing, Workspace369 vs Pipedrive

Pipedrive vs Workspace369 cost for three people

People Pipedrive Growth Pipedrive Premium Workspace369 Voyager Workspace369 Specialist
3 $147 $237 $84 (2 seats + 1) $149 (10 seats)
5 $245 $395 $104 (2 seats + 3) $149 (10 seats)

Monthly list prices, October 8, 2026, before any Pipedrive add-ons or the apps you connect. Billed annually, Pipedrive Premium for three is $177 a month; Workspace369 Specialist is $119.25 a month billed yearly. Seat arithmetic, not a feature match; try your own numbers in the software stack calculator.

To be fair, Pipedrive goes deeper on selling: lead tools, sequences and meeting notes. If outbound selling fills your week, that depth is worth paying for.

Is Pipedrive worth it?

For a sales team, yes. It is clear, quick to learn, and its pipeline view is excellent. If selling fills half your day, it earns its price.

For a service business, map the five jobs after the sale before you buy: the proposal, the project, the invoice, client updates and the phone. In the trial, win a test deal, send the proposal, create the invoice and see where each step lives. Our CRM guide for consultants and HubSpot alternatives guide compare more options.

Frequently asked questions

Is Pipedrive good for a service business?

For selling, yes: the pipeline, activities and reminders are excellent. After the deal is won, proposals need Smart Docs, delivery needs Projects (both included on Premium), invoices go through QuickBooks Online and calls need a Marketplace app, so map those handoffs first.

How much does Pipedrive cost?

Billed monthly, Lite is $24, Growth $49, Premium $79 and Ultimate $99 per seat a month. Billed annually, they are $14, $39, $59 and $79 per seat a month, charged once for the year. Every plan has a 14-day free trial (no credit card required). Prices checked October 8, 2026.

What does Pipedrive Premium include?

Everything in Growth plus LeadBooster, Smart Docs with signatures and Projects, which are paid add-ons on Lite and Growth. It also adds custom lead scoring, shared team inboxes and more control over fields and permissions. It is $79 a seat a month billed monthly.

How much are Pipedrive’s add-ons?

The pricing page lists starting prices of $13.33 for Campaigns, $16 for Projects, $32.50 for Smart Docs, $32.50 for LeadBooster and $41 for Web Visitors. Campaigns and Web Visitors are extra on every plan; the others are included on Premium and Ultimate.

Does Pipedrive do invoicing?

Not on its own. The QuickBooks Online integration creates invoices from a deal and brings back whether they are paid or overdue, so invoicing runs in your QuickBooks subscription.

Does Pipedrive have built-in calling?

No. Pipedrive’s help center says it “doesn’t have a built-in calling integration.” You add a Marketplace app such as Aircall or JustCall; on mobile, texting opens your phone’s messaging app.

Does Pipedrive have a client portal?

Its plans don’t list one. Projects can share AI-generated project report PDFs (in beta), so client updates go out as files and emails.

Pipedrive vs monday CRM: which is cheaper?

Per seat, monday Standard ($25) is cheaper than Pipedrive Growth ($49), billed monthly. But monday sells seats in buckets from 3, so one person pays $75 a month on Standard, while Pipedrive charges for each seat. Prices checked October 8, 2026.
