Switching from HoneyBook comes down to order. Get your data out first (a contacts CSV, your reports and PDFs of the smart files you need), rebuild only the work that is still open in the new tool, and keep HoneyBook until its last open payment is paid. Our pick is Workspace369, which we make, though HoneyBook remains the better fit for some teams, as the next section shows.
Prices checked October 7, 2026 on HoneyBook’s and Workspace369’s own pricing pages, in US dollars. This is an assessment of published plans and help-center articles, not a hands-on test of every product.

Stay on HoneyBook if:
- You like guided setup. HoneyBook includes templates from Starter, and its AI automations builder lets you describe your process and have AI build the workflow.
- You offer payment plans on a small plan. HoneyBook lists payment plans on every plan, Starter included. Workspace369’s installment payment plans start on Specialist.
- Your team is eight or more. Premium is $129 flat. Workspace369 Voyager with six extra seats is $134, and Specialist is $149 for ten seats.
- QuickBooks Online is part of your bookkeeping. HoneyBook includes it from Essentials.
Switch if:
- Clients text you. Workspace369 Voyager adds a shared inbox with two-way texting and missed-call text back.

- You have outgrown Essentials. Once its 2 team members are not enough, HoneyBook’s next step is Premium at $129. Workspace369 Voyager costs $84 for three people, $104 for five and $124 for seven.

HoneyBook export data: what you can take with you
Plan on three separate exports, each documented in HoneyBook’s help center. They apply whichever CRM you move to, and all three should be done before you cancel anything.
Go to Clients > Contacts, click the triple-dot icon and choose Download spreadsheet. The CSV holds each contact’s name, email, phone, address, notes and the date the contact was created. HoneyBook help: exporting contacts
Download your reports
Reports download on desktop from the Reports tab, and only the account owner has the full view. The Payments completed and Leads reports are desktop only, the Projects report requires Essentials and the Clients report requires Premium. Download the ones your plan allows and keep them with your records. HoneyBook help: reports
Save smart files as PDFs
For each smart file you want to keep, open the file, click the triple-dot icon, choose Print file and set the destination to Save as PDF. Start with files that are signed or still unpaid. HoneyBook help: smart files as PDF
What does not move automatically
A CSV and a folder of PDFs are records, not working documents. Anything already in a client’s hands, such as open smart files, scheduled payments and links you sent, keeps running in HoneyBook, and projects with payments still scheduled are simplest to finish there. Re-create only active work in the new tool: current clients, open proposals, unpaid invoices you will collect elsewhere, your services and prices, and the few automations you rely on. Finished projects can stay as PDFs and report downloads.
How to switch from HoneyBook: an 8-step plan
- Export first. Download the contacts CSV, the reports your plan allows and PDFs of the smart files you need. Open each file and check that every active client is there.
- Set up your services. Add each service and price to Workspace369’s product and service catalog, which proposals are built from. If your price list lives in a spreadsheet, CSV import covers products as well as clients and invoices, on every plan.
- Import clients from the CSV. Map the columns (name, email, phone, address, notes), then open a few records to check them.
- Re-create open proposals and unpaid invoices. Rebuild each open proposal from your catalog; the client accepts and signs through a link, and an accepted proposal converts to an invoice in one step. Decide where each unpaid invoice will be collected, and re-create it in Workspace369 only if the client will pay there, by card online through Stripe. For clients on a monthly retainer, every Workspace369 plan includes retainers and payment schedules, and invoices sent on a recurring schedule.
- Rebuild the 2 or 3 automations you rely on most. Workflow templates include new lead welcome, proposal review follow-up and invoice collection at 1, 7 and 30 days overdue. Cadet runs up to 3 active email workflows, and Voyager up to 10 with text message steps. Workspace369 automation
- Run one new client end to end. Send a proposal, have it accepted and signed, invoice it, take the online payment, then share the client portal and check it on a phone.
- Set a cutover date for new inquiries. From that date, new leads go to Workspace369, so update the inquiry link on your website. Requests, Workspace369’s public intake forms, start on Voyager.
- Cancel HoneyBook last. Once the last payment collected through HoneyBook has cleared and your exports are saved, cancel from HoneyBook’s company settings or ask HoneyBook support to close the account.

Frequently asked questions
How do I export clients from HoneyBook?
Go to Clients > Contacts, click the triple-dot icon and choose Download spreadsheet. You get a CSV with each contact’s name, email, phone, address, notes and created date, which Workspace369 can import on every plan. HoneyBook help
Does HoneyBook let you export all your data?
The help center describes three routes: contacts as a CSV, downloadable reports on desktop for the account owner, and smart files saved one at a time as PDFs. Some reports depend on your plan: Projects requires Essentials and Clients requires Premium. Open smart files, scheduled payments and sent links stay in HoneyBook, so finish or re-create that work by hand.
How do I cancel HoneyBook without losing data?
Export first, then cancel. Download your contacts, reports and smart-file PDFs, wait until the final open payment in HoneyBook is paid, and only then cancel from HoneyBook’s company settings or by contacting HoneyBook support. Keep the exported files somewhere that is backed up.
How long does a switch from HoneyBook take for a small business?
Plan the setup steps, from exports and services to client import and open invoices, to finish within Workspace369’s 14-day free trial. The end date is set by HoneyBook: keep it until the last open payment there is paid. A firm cutover date for new inquiries keeps the overlap short.
How much does HoneyBook cost?
Billed monthly, Starter is $36, Essentials $59 and Premium $129. Billed yearly, they are $29, $49 and $109 a month. Essentials adds automations, the scheduler and up to 2 team members, and Premium removes the team-member limit. There is a 30-day free trial. HoneyBook pricing
