Best CRM for AI Agents Handling Proposals and Invoices in 2026

Which CRMs let an AI agent draft proposals, create invoices and record payments, and what reaches your client without you, from vendor docs read November 1, 2026.

THE SHORT ANSWER

Our #1 pick is Workspace369 for AI-handled proposals and invoices: its docs show an AI drafting both, recording payments and checking what is overdue, while sending a proposal or an invoice to a client waits for your approval by default, unless you turn on "Send without asking".

KEY TAKEAWAYS
  • An AI handling proposals and invoices does three different kinds of work: reading (what is overdue, what was accepted), drafting (a proposal or an invoice your client has not seen), and sending (the moment your client sees it). The CRMs differ most on the third.
  • Workspace369 documents tools that draft proposals and invoices, record payments and find overdue invoices; by default, sending a proposal or an invoice waits for your approval, unless you turn on "Send without asking" for that connection.
  • Moxie documents proposals, agreements, invoices and payment plans, with a time-to-invoice playbook and access you set per area; its MCP server is a beta on Pro and Teams.
  • HighLevel documents a wide invoice set, including estimates, turning an estimate into an invoice, and send and void actions.
  • Productive documents reading and creating invoices and payments next to projects and time tracking, and offers a sandbox server for testing first.

Next step: Workspace369 MCP server ↗. Plans start at $29 a month ($23.25 billed yearly). Cadet through Commander start with a 14-day free trial; a card is needed to start.

Our #1 pick is Workspace369. Our editorial approach ↗

What changed in this guide
  • — Added that the Workspace369 MCP server, Builder API and signed webhooks are on every plan, Cadet and up at $29 a month (Workspace369 pricing page and the Workspace369 MCP server, read 2026-11-07; the Builder API opened to every plan on November 3, 2026).
  • — First version. Proposal and invoice capabilities checked against each vendor's own MCP documentation on November 1, 2026.

The best CRM for AI agents handling proposals and invoices is the one whose docs tell you what reaches your client, not just what the AI can create. Our #1 pick is Workspace369: an AI can draft proposals and invoices, record payments and find what’s overdue, and by default sending a proposal or an invoice waits for your approval, unless you switch that off for a connection. Moxie, HighLevel and Productive also document real proposal or invoice work, each with a different strength. We read each vendor’s MCP docs on November 1, 2026. Before you commit, run your shortlist through our free trial checklist.

What AI proposal and invoice handling is (and is not)

It means an AI app you already use, such as Claude, ChatGPT or Cursor, connects to your CRM through MCP, the Model Context Protocol, and works on your real proposals and invoices. You ask “which invoices are overdue?” or “draft a proposal for the Rivera project from last month’s”, and it does that in your account.

That work comes in three kinds, and they carry different risks:

  • Reading: what’s overdue, what was accepted, who still owes you. Low risk.
  • Drafting: a proposal or an invoice your client hasn’t seen yet. You can still fix it.
  • Sending: the moment your client sees an amount. That’s the step you can’t take back.

It isn’t an AI writing assistant inside your invoicing screen, and it isn’t an automation that sends an invoice when a job is marked done. Those can be useful, but neither lets the AI you already use act on request.

How we compared these tools

On November 1, 2026, we read each vendor’s own MCP documentation, signed out, and checked four things:

  1. Proposals: does the documentation say an AI can read, create or change proposals or estimates?
  2. Invoices and payments: can it read invoices, create them or record payments?
  3. Sending: what do the docs say about the AI sending a proposal or an invoice to your client?
  4. Control: read-only options, access set per area, confirmations and test environments.

What we did not test. We didn’t connect an AI to any rival CRM, and we have no ratings or customer numbers. Where a vendor’s MCP page doesn’t mention proposals or invoices, we say “not stated”. It may still be possible, but it isn’t on the page we read. For which CRMs have an MCP server at all, see our census of MCP servers.

Proposal and invoice work by CRM

CRM Proposals Invoices and payments Sending to your client, per its docs
Workspace369 Search with sent, viewed, accepted and declined history; create and edit drafts; templates and design Search with an overdue flag; create and edit drafts; record payments; recurring plans Waits for your approval by default; “Send without asking” turns that off per connection
Moxie (beta, Pro and Teams) Opportunities, proposals and agreements Invoices and payment plans; time-to-invoice playbook Sends “where supported”; some externally visible actions need confirmation; automatic charges and proposal payment setup stay in the app
HighLevel Estimates and proposals Invoices, templates, schedules, manual payments; an invoice from an estimate Documents send and void actions; “sensitive and irreversible operations” get confirmation checks
Productive (Ultimate plan) Access and update proposals Read and create invoices, expenses and payments Not stated
HoneyBook Reads the text of smart files and contracts Answers who owes you and which invoices are overdue Warns a sent file “can’t be pulled back”; the assistant should check with you first
Dubsado (in its terms) Not stated Read and write access includes invoices Not stated
Attio Updates a deal’s stage, for example to “Proposal Sent” Not stated No send tool listed; writes request confirmation

HubSpot, Pipedrive, Zoho CRM, monday.com, Close, ClickUp and Twenty all document an MCP server, but the MCP pages we read don’t mention proposals or invoices. Check their docs if one of them is already your CRM.

The best CRMs for AI agents handling proposals and invoices

We put these in order of how fully each vendor’s docs cover the whole job, from drafting to getting paid, and how clearly they say what reaches the client. Every fact comes from the vendor’s own docs, read November 1, 2026.

1. Workspace369, best for AI-drafted proposals and invoices that wait for you by default

Workspace369’s MCP tools reference covers the whole job. An AI can list proposals and estimates with their sent, viewed, accepted and declined history, and create and edit draft proposals. It can create draft invoices, with Workspace369 calculating the totals and tax, find what’s overdue, and record a full or partial payment without sending anything to the client. Workspace369 puts its MCP server and its Builder API, the REST API for your own apps and scripts, on every plan, Cadet and up at $29 a month, and signed webhooks too.

Drafting never sends: the docs say a draft “is never sent by this tool”. Sending a proposal or an invoice is a separate step, and from a connected AI app Workspace369 holds it until you approve it in the app. The AI app can’t approve its own request.

Limitation: you can turn on “Send without asking” for one connection, and its sends then go out right away. It’s off by default, and the docs tell you to leave it off unless you fully trust the app. Workflows you’ve turned on yourself still run as you set them, and a record the AI creates can start one.

Best for: agencies that want an AI to prepare proposals and invoices and chase what’s overdue, and to approve sends to clients themselves.

2. HighLevel, best for an AI that sends and voids invoices for you

HighLevel’s guide lists a wide invoice set:

  • invoices, estimates, templates and schedules;
  • manual payments, and turning an estimate into an invoice;
  • proposals and document links;
  • send and void actions.

Its payments area also covers recorded payments, subscriptions and transactions. Of the rivals, it documents the most of the job, drafting to sending. The operations a connection gets depend on the scopes you approve, and you choose which sub-accounts it reaches. There are separate connection options for Claude, ChatGPT and Cursor. Send is documented, which matters if you want the AI to do the sending.

Limitation: the guide says “sensitive and irreversible operations are subject to confirmation and safety checks”, but doesn’t say whether sending an invoice is one of them. Check before you let it send.

Best for: teams that want an AI to run invoicing end to end, sending included.

3. Moxie, best for time-to-invoice work with access set per area

Moxie’s MCP server covers opportunities, proposals and agreements on the sales side, and invoices, payment plans and expenses on the money side. It also loads Moxie’s own playbooks for time-to-invoice and invoice lifecycle work, so an AI can, for example, review tracked time for billable work that’s ready to invoice. You choose no access, read only, or read and write for each area when you connect. The docs give a worked example: with invoices set to read only, an AI can find a client but can’t create an invoice.

Limitation: the server is a beta, on Pro and Teams workspaces only. Automatic charges and deep proposal payment setup stay in the Moxie app, as do general and bulk email sending. The docs say sends happen “where supported” and some externally visible actions need confirmation, without saying which.

Best for: studios that bill from tracked time and want each area’s access set separately.

4. Productive, best for invoicing next to projects and time

Productive’s MCP server can access and update proposals, read and create invoices, expenses and payments, and work with projects, tasks and time entries in the same connection. That suits agencies whose invoices come from project work. It also has a separate sandbox server, so you can try an AI on test data before it touches your real invoices. It’s a native app in ChatGPT too, so ChatGPT users don’t need a custom connector.

Limitation: the server is on the Ultimate plan, and the docs don’t say whether an AI can send an invoice to a client. It can delete time entries and pages, so decide what it may touch before you connect.

Best for: agencies that run projects, time and billing in one tool and want to test first.

5. HoneyBook, best for asking who still owes you

HoneyBook’s connector answers money questions: who still owes you and how much, which invoices are overdue, and what you brought in last month. It can read the text of your smart files and contracts, fine print included. It can also make real changes, such as creating a project. Nothing runs in the background: the connector acts only when you ask in a conversation. If you only want answers, the docs suggest saying “Only tell me, don’t change anything.”

Limitation: changes happen with “no preview and no undo”, and a file that’s been sent “can’t be pulled back”. The docs say the assistant should check with you first and wait for you to say go. Anything visual, including your client’s payment page, stays in HoneyBook. The docs list money questions, not creating invoices.

Best for: HoneyBook users who want answers about their money without digging through the app.

Also worth a look

Dubsado’s terms describe an MCP server whose access can include invoices, but we read no help page describing what an AI can do with them. Attio tracks the deal rather than the document: an AI can move a deal to “Proposal Sent”, its writes request confirmation, and its tool list has no tool that sends email.

Which CRM fits your situation

Your situation Start with
You want an AI to draft proposals and invoices, with sends waiting for you by default Workspace369
You want the AI to send and void invoices itself HighLevel
You bill from tracked time and want access set per area Moxie
Your invoices come from projects and time, and you want to test on separate data Productive
You only want answers about who owes you HoneyBook

Before you let an AI near your invoices

  1. Start with reading. Ask “which invoices are overdue?” before you ask it to create anything.
  2. Check that drafts stay drafts. Find the line in the docs that says creating doesn’t send.
  3. Find out what happens on send. If the docs don’t say whether a send waits for you, assume it doesn’t.
  4. Check who can see amounts. An AI should never see more than the person who connected it.
  5. Know how payments get marked. A payment recorded by an AI should be one you can see and reverse.
  6. Watch your automations. A record the AI creates can start a workflow that emails your client.

Frequently asked questions

Can an AI create invoices in my CRM?

In some. Workspace369, Productive and HighLevel document creating invoices through MCP, and Moxie does when invoices are set to read and write. HoneyBook’s docs list money questions rather than invoice creation.

Can an AI send an invoice to my client?

Vendors differ, and few say whether a send waits for you: HighLevel documents send and void actions with confirmation checks on sensitive operations. In Workspace369, sending waits for your approval by default, unless you turn on “Send without asking”. For the rest, ask the vendor before you connect.

Can an AI write a proposal for me?

Workspace369 documents creating and editing draft proposals, including templates and design. Moxie and Productive document working with proposals, and HighLevel documents estimates and proposals.

Can an AI mark an invoice as paid?

Workspace369 documents recording a full or partial payment without sending anything to the client, HighLevel documents manual payments, and Productive documents creating payments. Check that you can see and undo what the AI recorded.

Which CRMs did you leave out?

We covered CRMs whose MCP documentation we could read on November 1, 2026. HubSpot, Pipedrive, Zoho CRM, monday.com, Close, ClickUp and Twenty have servers, but their MCP pages don’t mention proposals or invoices.
