FreshBooks is worth it if your main job is invoicing, expenses and tracking billable hours, and your accountant needs access to the books. Choose Lite only if you bill five clients or fewer, Plus for proposals and retainers, and Premium for project profitability. If the work before the invoice is the bottleneck, compare Workspace369, our pick, which we make.
Prices, plan limits and review scores were checked on the vendors’ own pages and on Capterra on October 5, 2026, in US dollars. This review assesses published plans; it is not a hands-on test, and the team totals below are list-price arithmetic.

Standard USD prices and plan rows from the FreshBooks pricing page and plan comparison, checked October 5, 2026. Introductory offers are excluded.
The pricing page currently leads with introductory offers: Lite at $1 a month for the first year, and 80% off Plus or Premium for three months. The terms describe limited-period, new-customer deals with full price afterward, and no free trial comes with the discount. Budget on the standard price, because that is what you pay once the offer ends.
Otherwise FreshBooks has a 30-day free trial with as many billable clients as you need, so compare your real client count with the plan you would actually buy.
How does the FreshBooks client limit work?
The plans split mainly by billable clients: Lite bills 5, Plus 50, and Premium and Select are unlimited. FreshBooks counts active and archived clients toward the limit. You can delete a client you no longer bill to free a slot, and that client’s invoices remain accessible, according to the pricing FAQ.
That makes client six the decision point on Lite. You either delete an old client or move to Plus, which is $20 more a month, or $240 a year at standard monthly prices. The upgrade buys more than slots: Plus adds double-entry reports, bank reconciliation, receipt capture and accountant access.
Count the clients you invoice across a year, not in one month. A consultant with three retainers and a few one-off projects can pass five quickly.
What does FreshBooks cost for a team?
Team members are an add-on at $11 per person per month on every plan, and Select includes two team member accounts. Count everyone who needs a login, then compare totals.

Standard monthly USD prices checked October 5, 2026 on the FreshBooks, QuickBooks Online and Workspace369 pricing pages. FreshBooks totals are the plan plus $11 for each person after the owner. The plans include different features, so read this as price arithmetic, not a feature match.
The honest read: FreshBooks Plus is cheaper than Workspace369 Specialist for a ten-person team, $142 against $149 a month. That changes once you pass 50 billable clients, because Premium takes the same ten people to $169. QuickBooks’ Plus plan stops at five users, so a team of ten needs Advanced.
Does FreshBooks have proposals and time tracking?
Yes, on different plans. Unlimited time tracking and estimates are on every plan, Lite included, and the time tracking is a real FreshBooks strength. Proposals, client retainers and e-signatures start on Plus. An estimate or proposal can be converted into a project with its services attached. FreshBooks pricing
Time tracking matters because unbilled hours add up. As an illustration, four untracked hours a month at $95 an hour is $4,560 a year.
Match the plan to the stage of the business:
- Solo, a few steady clients: Lite covers invoicing, expenses and time.
- Proposals or monthly retainers: Plus, because both start there.
- A team that needs project profitability or accounts payable: Premium.
What do FreshBooks reviews say?
On Capterra, FreshBooks scores 4.5 out of 5 from 4,529 reviews, with 4.5 for ease of use, 4.4 for customer service and 4.3 for value for money (checked October 5, 2026). Those are strong scores. Value for money is the lowest of the three, so run the client and team math above with your own numbers.
FreshBooks vs QuickBooks: which costs less?
QuickBooks Online lists Simple Start at $38 a month for one user, Essentials at $85 for three, Plus at $140 for five and Advanced at $340 for 25. The page currently promotes 50% off for three months; the figures here are the regular prices. QuickBooks pricing
- Users: QuickBooks bundles users into each plan. FreshBooks starts lower and adds people at $11 each.
- Three people: FreshBooks Plus with two team members is $65 a month; QuickBooks Essentials is $85.
- Project profitability: QuickBooks lists it on Plus at $140; FreshBooks includes it on Premium at $70.
Choose by the job. QuickBooks fits when the books are the main job and you want users bundled in; FreshBooks fits invoicing a manageable client list with time tracking from the first plan. If your bottleneck is the client work before the invoice, that is a different purchase.
How to test FreshBooks with one real client
Use the 30-day trial on one live client, and run the same client through any alternative you are considering.
- Count billable clients from the past twelve months, archived ones included, and note which plan that number requires.
- Price the team. List everyone who needs a login and add $11 for each person after the owner.
- Send the quote you actually use. Estimates work on Lite; if you send proposals, test on Plus features.
- Track a week of hours on that client, bill them and check what the client sees on the invoice and portal.
- Invite your accountant (Plus and up) and confirm they can find the reports they need.
- Write down the standard price you will pay after any introductory offer, then compare which tool took longer for the same client.
If you move away later, settle open invoices and save your reports before closing anything, and keep invoice history where your accountant can reach it.
When to compare Workspace369
Our pick is Workspace369, which we make. FreshBooks starts from the books; Workspace369 starts from the client relationship and carries it through proposal, project, hours and invoice. It prices by seats and plan features rather than by a billable-client count, as our FreshBooks vs Workspace369 comparison sets out.
- Every plan, from Cadet at $29 a month (1 seat): proposals with themes, clients, projects, invoices, a client portal, retainers with auto-invoice, a service catalog showing cost and gross margin, and email workflows (up to 3 active on Cadet).
- Voyager, $74 (2 seats): time tracking from timer to invoice, Requests (a lead form whose submissions become clients), and email and texts in one client thread with an AI summary.
- Specialist, $149 (10 seats): client self-booking pages, deposits paid when a proposal is accepted, and expenses with basic accounting. Commander, $299 for 20 seats, adds full accounting.
Extra seats are $10 a month each from Voyager, and every plan has a 14-day free trial. Workspace369 pricing
FreshBooks keeps two clear advantages: time tracking on its $23 plan and a lower ten-person total on Plus. For other options by role, see the freelancer CRM guide, the consultant CRM guide and, for practices that run client books, the best CRM for bookkeepers and accountants.
