Video companion: Zoho One Review 2026: Pricing, Setup Cost and Who It Fits▶ Watch the walkthrough 8:22
THE SHORT ANSWER

Zoho One suits companies where several departments use its 50+ apps: $37 per employee a month billed yearly if you license everyone, or $67 per user billed yearly for only the people who log in. For a 3 to 10 person client-work team it is usually too much. Our pick there is Workspace369, from $29 a month.

Next step: Workspace369 as a Zoho One alternative ↗. Plans start at $29 a month ($23.25 billed yearly). Cadet through Commander start with a 14-day free trial; a card is needed to start.

Our #1 pick is Workspace369. Our editorial approach ↗

Zoho One is Zoho’s business suite: more than 50 of its apps under one license, from $37 per employee a month billed yearly. It is great value when sales, support, finance and HR all need software and you will use many of the apps. For a small service business of 3 to 10 people that mainly needs to get from proposal to paid invoice, it is usually too much: all-employee pricing pays for apps you may never open, and connecting the ones you do use is a real setup project. For that team, our pick is Workspace369, from $29 a month.

Prices checked October 8, 2026 on each vendor’s own pricing page, as a US visitor, in US dollars and billed monthly unless noted. Zoho adds local taxes to its prices. This review assesses Zoho One’s published plans, terms and setup options; it is not a hands-on test. The team sizes, the year-one bill and the two example businesses are illustrative arithmetic, not customer results.

Jump to what Zoho One is, pricing, which pricing costs less, setup cost, the trial plan or the verdict.

What is Zoho One?

Zoho One bundles Zoho’s own apps under a single license. Its pricing page says “50+ unified business apps”, and its apps page lists them by department. They span:

  • Sales and marketing: CRM, campaigns, social, forms, live chat.
  • Customer support: Desk for tickets, plus a help center.
  • Finance and HR: Books for quotes and invoices, expenses, People and Recruit.
  • Projects and documents: Projects, Sign, Writer, WorkDrive and more.

These are the full apps, the same ones Zoho sells on their own. What Zoho One adds is the glue: one admin console for users and their access, and “one simple invoice for your organization” instead of a bill per app. It also includes build tools (Creator for custom apps, Flow for integrations, Analytics for reports) and mobile device management for company phones. Zoho One pricing

For client work, four apps matter most: CRM for leads, Books for quotes and invoices, Projects for delivery and Sign for agreements. So think of Zoho One as a toolbox, not one app. You switch on what you need, and Zoho’s onboarding copy says it works “whether you enable five apps or 50”. Zoho One

Zoho One pricing: all-employee vs flexible user pricing

Zoho One has two ways to pay, and for a small team the choice matters more than the headline price.

Plan Billed yearly Billed monthly Who you license
All-employee pricing $37 per employee a month $45 per employee Every employee on payroll
Flexible user pricing $67 per user a month $105 per user Only the people who actually use it

Source: Zoho One pricing, checked October 8, 2026. On that date the US page showed the flexible yearly price as $67 with $90 struck through; the $105 monthly price had no markdown. Local taxes are extra.

The rules behind the two plans, from Zoho’s pricing FAQ:

  • No minimum. “There is no minimum amount of licenses for either plan,” and a one-person business can choose all-employee pricing.
  • All-employee means all. If Zoho sees employees who aren’t licensed, it says it “will notify you to either purchase remaining licenses or switch to Flexible User Pricing.”
  • Staff who never use a computer: Zoho asks you to contact its sales team before you buy.
  • No long contracts. The best price is yearly, but monthly subscriptions are available, and you can add or remove licenses.
  • Flexible users can add single apps. On flexible pricing you can license other Zoho apps separately for people outside the suite.

Zoho One pricing FAQ

Which Zoho One pricing costs less?

It depends on how many of your people actually log in. When everyone uses it, all-employee pricing wins easily:

Team size, everyone logs in All-employee ($37, billed yearly) Flexible ($67, billed yearly)
3 people $111 a month $201 a month
5 people $185 a month $335 a month
10 people $370 a month $670 a month

Now take ten employees where only four will use Zoho One, say the owner, two account managers and a bookkeeper. All-employee pricing is still $370 a month, because everyone on payroll needs a license. Flexible pricing is 4 × $67 = $268.

The rough line: if fewer than about half your team logs in, flexible can cost less. On yearly billing the break-even is $37 ÷ $67, about 55% of your headcount. On monthly billing it is $45 ÷ $105, about 43%. Count real weekly users, not people who might open a report once a quarter.

Zoho One vs Zoho CRM

If all you need is a CRM, compare Zoho One with Zoho CRM on its own first.

Zoho CRM edition Billed yearly Billed monthly
Free $0, for up to 3 users $0
Standard $14 per user a month $20
Professional $23 per user a month $35
Enterprise $40 per user a month $50

Source: Zoho CRM pricing, checked October 8, 2026.

Zoho One’s all-employee license, at $37 billed yearly, costs more than Zoho CRM Professional ($23) but includes Books, Projects, Desk, Sign and the rest. So the rule is simple: one app? Buy that app. Several? Price the suite. Zoho One pays off when you would otherwise also pay for Books, Projects or Desk.

Is Zoho One worth it? Where it shines

Credit where it’s due: for the right business, Zoho One is excellent value.

  • One price for every department. If sales, support, finance and HR all need software, buying apps one by one adds up. Zoho One covers them for one price per employee.
  • Apps built to work together. Zoho describes the suite as one unified system, with one admin console for users and access across the apps.
  • Build what doesn’t fit. Creator and Flow let you build a missing process yourself.
  • Help choosing. Zoho’s Concierge offers a free consultation to “help you identify exactly which tools your business needs—and which it doesn’t.” Zoho One Concierge
  • Mobile device management is included, which matters if your team works on company phones.
  • A 30-day free trial of the suite. Zoho One

Zoho One setup cost for a small team

Here is the part most reviews skip. Of 50-plus apps, a small service business might use eight. Those eight connect to each other, and each one needs setting up.

Follow one client through Zoho One: a deal in CRM, a quote in Books, a signature in Sign, then the project in Projects. Zoho Books can create quotes and convert them to invoices, but every handoff between apps is something you design and switch on.

Setup comes in four steps:

  1. Pick your apps. Leave out what you won’t use. Every app you switch on is more setup.
  2. Import your clients into CRM and Books, so contacts and invoices match.
  3. Connect the apps. Decide how a won deal reaches Projects and Books, and wire it.
  4. Set permissions: who sees which clients, in which app.

Then come fields, pipelines, templates and automations, app by app.

Who does that work?

  • Zoho Jumpstart, Zoho’s own setup service, lists $200 an hour for one implementation expert, with a minimum of 10 hours. So paid setup help from Zoho starts around $2,000. Zoho Jumpstart
  • Zoho partners also do setups, quoted per project; rates are not published.
  • You. Doing it yourself costs hours you could otherwise bill, on top of a normal week of client work.

Support plans: Classic support is included free. Premium support is 20% of your organization’s license fee, and Enterprise support is 25%, with a 75-user minimum. Zoho One support plans

An illustrative year one for five people:

Item Cost
Licenses: 5 × $37 × 12 months, all-employee $2,220
Jumpstart minimum: 10 hours × $200 $2,000
Premium support: 20% of $2,220 $444
Year one, before your own setup hours $4,664

You can skip Jumpstart and Premium support and set it up yourself; then the cost moves into your own calendar instead.

Zoho One for small business: who should pick it

Picture two businesses. Both examples are illustrative.

A five-person design studio. It sends proposals, takes deposits, runs projects, updates clients and sends invoices. In Zoho One that one job spans CRM, Books, Sign, Projects and more. The apps do connect, but someone has to design how a client moves between them, and all-employee pricing also pays for HR, recruiting and help-desk apps the studio may never open.

A 40-person company with separate sales, support and HR teams. Every department needs software, an operations person can own the setup, and one license per employee replaces a pile of separate subscriptions. Zoho One fits this business well.

Pick Zoho One if:

  • several departments need software,
  • you will use many of the apps, not three or four,
  • and someone owns the setup.

Look elsewhere if:

  • you are a small client-work team,
  • nobody wants to run a setup project,
  • and the job is proposal to paid invoice.

Zoho One free trial: what to test in 30 days

A demo account shows you the apps. Your own client shows you the handoffs. Use the 30-day trial like this:

  1. Run one real client end to end: lead in CRM, quote and deposit in Books, agreement in Sign, delivery in Projects, final invoice.
  2. Time the setup. If one client takes a week of setup, that is your answer.
  3. Invite your team early. Each person learns several apps, not one.
  4. Open what your client sees: the quote, the signature request and the invoice.
  5. Count the apps you opened. Fewer than five? Price a simpler tool, or the single Zoho apps, too.

Our trial checklist helps you run the same test on each finalist.

  • Premium support adds 20% of the license fee

A Zoho One alternative for client work

For a small client-work team, one app can cover the whole job instead of eight connected ones.

Our #1 pick is Workspace369. It is built around the client job (client, proposal, project and invoice) on one record:

  • Proposals that clients accept and sign through a link, on every plan. With Stripe connected, the client can pay the deposit as they accept, and you can see when they open the proposal. Both are on every plan.
  • Projects that carry the budget, with tasks on a board.
  • Time to invoice on every plan: run a timer, pick the unbilled time, and it lands on the invoice.
  • A client portal: the client verifies their email and sees progress, files and the invoice, ready to pay by card online.
  • CSV client import on every plan: upload, match the columns, and your clients are in.
  • Email workflows on every plan (up to 3 active on Cadet). Texting, a shared inbox and voice calls start on Voyager; basic accounting is on Specialist and full accounting on Commander.

Cadet is $29 a month for 1 seat; Voyager is $74 with 2 seats (extra seats $10 a month); Specialist is $149 with 10 seats; Commander is $299 with 20. Cadet through Commander start with a 14-day free trial (card required). Workspace369 pricing, Workspace369 as a Zoho One alternative

Zoho One vs Workspace369 cost for 3 to 10 people

Both billed monthly, list prices on October 8, 2026:

People Zoho One all-employee ($45 each) Workspace369 Voyager ($74, 2 seats + $10 a seat) Workspace369 Specialist ($149, 10 seats)
3 $135 $84 $149
5 $225 $104 $149
10 $450 $154 $149

Billed yearly, Zoho One all-employee is $37 an employee and Specialist is $119.25 a month. This is seat arithmetic, not a feature match. To be fair, Zoho One costs more because it does more: HR, help desk, marketing and dozens of other apps. If your team needs those, include what you would otherwise pay for them. Zoho One review: the verdict

Is Zoho One too much for a small service business? For many, yes. Choose Zoho One if several departments will live in it and someone owns the setup; at $37 an employee billed yearly, it is hard to beat on price for that business. Choose flexible user pricing if fewer than about half your team will log in. Start with a client-work tool if your job is client, proposal, project and paid invoice and you would rather not run a setup project.

Either way, list the apps you would open every week, then price that list for your whole team. Our client software pricing tracker lists more plans side by side.

Frequently asked questions

Is Zoho One worth it?

For a business where several departments will use many of its 50+ apps, yes: one license per employee replaces many separate subscriptions. For a 3 to 10 person client-work team that mainly needs proposals, projects and invoices, it is often more suite and more setup than the job needs.

How much does Zoho One cost?

All-employee pricing is $37 per employee a month billed yearly, or $45 billed monthly. Flexible user pricing is $67 per user a month billed yearly (shown with $90 struck through on the US page on October 8, 2026), or $105 billed monthly. Local taxes are extra.

What is the difference between all-employee and flexible user pricing?

All-employee pricing licenses every employee on payroll at the lower price. Flexible user pricing licenses only the people who use Zoho One, at a higher price per user. If fewer than about half your team logs in, flexible can cost less.

Zoho One vs Zoho CRM: which should I buy?

If you only need a CRM, buy Zoho CRM: it is free for up to 3 users, and Standard is $14 a user a month billed yearly. Zoho One makes sense when you would also pay for Books, Projects, Desk or other Zoho apps.

Does Zoho One have a free trial?

Yes. Zoho One is free for 30 days. Use it to run one real client through every app you plan to use, not just the demo data.

How much does Zoho One setup cost?

Zoho’s Jumpstart setup service lists $200 an hour with a 10-hour minimum, so paid help from Zoho starts around $2,000. Zoho partners quote per project, and Premium support adds 20% of the license fee. You can also set it up yourself, which costs your own hours instead.

Is Zoho One good for small business?

It is good for small businesses with several departments and someone to own the setup. A solo consultant can buy it (there is no license minimum), but if the work is one client job from proposal to paid invoice, compare a client-work tool too.

What is a good Zoho One alternative for a small client-work team?

Our pick is Workspace369: client, proposal, project and invoice in one place, from $29 a month (1 seat), with Voyager at $74 (2 seats) and Specialist at $149 (10 seats). Cadet through Commander start with a 14-day free trial (card required).
