The best invoicing software for a freelancer depends on one question: do you only send invoices, or run the whole client job? If you only invoice, start free with Wave Starter or Zoho Invoice. If you want real accounting, look at FreshBooks or QuickBooks Online. If the invoice comes after a proposal, a contract and tracked hours, our #1 pick is Workspace369. Test your shortlist with our free trial checklist.

What invoicing software is (and what it isn’t)
It turns your work into a bill the client can pay: line items, totals, a due date and a pay button, then reminders until the money arrives. Some tools stop there. Others add your books (accounting software), and others add the steps before the invoice: the proposal, the contract and the hours. The more of the job a tool covers, the less you retype between apps, and the more it costs.
How we compared these tools
We did not run a lab test. Prices are list prices in US dollars, billed monthly unless noted, read on each vendor’s own pricing page as a US visitor with no promotions: Wave, FreshBooks, Bonsai and Workspace369 on October 28, 2026. Zoho Invoice’s page was last read October 25 and QuickBooks Online’s October 22; both could not be re-read on October 28, so check them before you buy. On those pages and plan rows we checked five things a solo freelancer runs into:
- List price for one person, monthly and billed yearly.
- Free-plan limits: invoice caps, client caps, branding, missing reminders.
- What the client sees: your brand, the amount, a pay button, and whether they need an account.
- Recurring and hourly billing: scheduled invoices for retainers, and tracked time turned into line items.
- Late payments: reminders and late fees, and which plan has them.
Workspace369 facts come from its own pricing page and plan list. We did not test payment processing.
What each one costs
| Tool and plan | Monthly billing | Billed yearly | Notes |
|---|---|---|---|
| Wave Starter | $0 | $0 | Invoices and bookkeeping |
| Wave Pro | $19 | $190 a year | Adds reminders and bank import |
| Zoho Invoice (last read Oct 25) | $0 | $0 | 500 invoices a year, Zoho branding |
| FreshBooks Lite | $23 | $248.40 a year | Bills 5 clients |
| QuickBooks Simple Start (Oct 22) | $38 | not read | Full accounting, 1 user |
| Bonsai Essentials | $25 per user | $19 per user a month | Basic ($15) has no invoices |
| Workspace369 Cadet | $29 | $23.25 a month | 1 seat |
If all you need is a clean invoice and the lowest bill, the free plans are a fair start. Price is only half the story, though: the next question is what each plan leaves out.
What the free plans leave out
- Wave Starter has no automatic late-payment reminders and no automatic bank import. Both sit on Pro at $19 a month.
- Zoho Invoice free allows 2 users and 500 invoices a year, and the invoices carry Zoho branding (as read October 25).
- FreshBooks has no free plan, only a 30-day trial, so you decide with a real invoice in front of you.
Before you pick a free plan, ask what happens on invoice 501, or on client six.
The best invoicing software for freelancers in 2026
1. Workspace369, best for freelancers whose invoice follows a proposal and a contract
Our #1 pick is Workspace369 for a freelancer who sends a proposal and contract, does the work and then invoices the same client. The invoice sits in the same record as the proposal, the hours and the client portal, and every client-facing page carries your logo and colors. Your client opens the invoice from a link and pays on that page, with no account and nothing to install.
Recurring invoices, retainers, deposits, time tracking and adding unbilled time to an invoice are on every plan, from Cadet at $29 a month for 1 seat ($23.25 billed yearly). Late-payment reminders are on every plan; the pricing page lists automatic late fees on Commander ($299 a month).
The limits: it is not accounting software at Cadet, it costs more than the free tools, and Cadet is one seat. If you only ever send an invoice, with no proposal or contract before it, you are paying for steps you won’t use. Every plan has a 14-day free trial, and the trial needs a card.
Best for: freelancers who want the proposal, the contract, the hours and the invoice in one brand. Workspace369 pricing
2. FreshBooks, best for freelancers who want invoicing and simple books
FreshBooks Lite is $23 a month billed monthly, or $248.40 a year billed yearly. Its plan rows list recurring invoices, scheduled late fees, automatic late-payment reminders, deposits and time tracking, which is generous at that price. Plus ($43) bills 50 clients and is where proposals and client retainers start; Premium is $70. Billed yearly, every plan is 10% less. Team members are $11 a month each, which matters only once you hire. Our FreshBooks review covers the plans in detail.
The limits: Lite bills only five clients, archived clients still count toward that cap, there is no free plan, and the page shows a large first-months discount that is not the list price. Budget on $23.
Best for: freelancers with five or fewer regular clients who want invoices, reminders and simple reports. FreshBooks pricing
3. Wave, best for free invoices and bookkeeping
Wave Starter is $0 and lists unlimited estimates, invoices, bills and bookkeeping records. Pro is $19 a month, or $190 billed yearly, and adds automatic bank import, receipt capture and automatic late-payment reminders. For a freelancer with a few clients and simple jobs, Starter covers the invoice and the books at no monthly cost, with no invoice cap to run into.
The limits: on Starter you chase late payers by hand and import bank transactions yourself, and its plans list invoicing and bookkeeping, not proposals, contracts or projects. If you find yourself chasing every month, Pro at $19 is the fix, and at that point compare it with FreshBooks Lite at $23.
Best for: freelancers with simple jobs who want invoices and books at no monthly cost. Wave pricing
4. Zoho Invoice, best for free recurring invoices
As read October 25, Zoho Invoice is free with 2 users, 500 invoices a year, recurring invoices, payment reminders, time logging and a customer portal, and Zoho branding on the invoices. Full bookkeeping is a separate product, Zoho Books. That is a lot for a free plan, and recurring invoices with reminders are exactly what a retainer client needs.
The limits: 500 invoices a year is about 40 a month, a ceiling only for a busy freelancer; the Zoho branding stays on the invoices; and the page lists no paid Invoice plans, so growing means moving to another Zoho product. We could not re-read the page on October 28, so confirm the limits before you set up.
Best for: freelancers who want free recurring invoices and reminders at modest volume. Zoho Invoice pricing
5. QuickBooks Online, best for freelancers whose bookkeeper uses it
Simple Start was $38 a month for 1 user when we last read the page on October 22. It is full accounting software: if a bookkeeper or accountant already works in QuickBooks, your invoices belong there, because they will reconcile them in the same ledger at tax time. Higher plans add users and bill management, which a solo freelancer rarely needs.
The limits: it is the priciest entry plan here, invoicing is one feature of a ledger rather than a proposal-to-payment flow, and the page has shown first-months discounts that are not the list price. We could not re-read the page on October 28, so check the current price before you buy.
Best for: freelancers whose books, taxes and accountant already live in QuickBooks. QuickBooks pricing
6. Bonsai, best for a full client flow at a low price
Bonsai Essentials is $25 a month per user, or $19 billed yearly, and includes invoices, proposals, contracts, a client portal and time tracking. Basic ($15) has no invoices. Billed yearly, Basic is $9 and Essentials $19 per user a month. For a solo freelancer who bills hours against projects, it is the cheapest way here to get the proposal, contract and invoice in one place. Our Bonsai review covers each plan.
The limits: it is priced per user, so it gets dearer once you hire, and the trial is 7 days, so plan a real test invoice before you sign up.
Best for: freelancers who bill hours and want proposals, contracts and invoices at a low price. Bonsai pricing
What your client sees on the invoice
The invoice page is your brand in front of the person paying you. It should show your logo and colors, the amount due, the due date and one pay button, and nothing that makes the client wonder what to do next. Check two things in any trial: does the client need an account to pay, and does the page read well on a phone? On Workspace369, the client pays from the link with no account, and you set your logo, template and accent color once.
Recurring, hourly and late: the three billing jobs
- Same client every month? Recurring invoices send on a schedule you set once. Workspace369, FreshBooks Lite and Zoho Invoice list them; on Workspace369 the card is charged automatically when the client turns on autopay.
- Billing by the hour? Tracked time should land on the invoice without retyping. Workspace369 adds unbilled time entries to an invoice as line items; Bonsai and FreshBooks include time tracking, so check how each turns hours into lines. Our guide to invoicing clients as a freelancer covers what each line should say.
- Client pays late? FreshBooks lists late fees and reminders on every plan; Wave keeps reminders for Pro; Workspace369 lists reminders on every plan and automatic late fees on Commander. Our guide to getting clients to pay on time covers the terms and wording that prevent most late payments.

Frequently asked questions
What is the best invoicing software for freelancers?
For invoices only, Wave Starter or Zoho Invoice are free; for accounting, FreshBooks or QuickBooks. For a proposal, contract, hours and invoice in one brand, our #1 pick is Workspace369, from $29 a month.
What is the best free invoicing software for freelancers?
Wave Starter and Zoho Invoice cost $0. Wave Starter has no automatic late-payment reminders; Zoho Invoice free allows 500 invoices a year with Zoho branding (as read October 25, 2026).
Is FreshBooks worth it for a freelancer?
If you bill five clients or fewer, Lite at $23 a month lists recurring invoices, late fees, reminders, deposits and time tracking. With more than five clients you need Plus at $43.
Do I need accounting software or just invoicing software?
If an accountant or bookkeeper does your books, use what they use, often QuickBooks or FreshBooks. If you only bill clients and keep simple records, invoicing software and a spreadsheet for expenses can be enough. Small teams can compare seat costs in our small business invoicing guide.
How long are the free trials?
FreshBooks lists 30 days, Workspace369 14 days with a card, and Bonsai 7 days. Wave Starter and Zoho Invoice are free plans rather than trials.
Can clients pay an invoice without creating an account?
On Workspace369 they pay from the invoice link with no account. For other tools, open a test invoice in a private browser window during the trial and see what the client is asked for.
Next step: send one real invoice
Pick two tools from the table, send the same real invoice through each, and open it as your client would, on a phone. If the proposal and contract should travel with that invoice, start the Workspace369 14-day trial (card required).
