The best invoicing software for a small business whose invoices come out of client work is Workspace369: the proposal, deposit, tracked hours and invoice sit in one record, from $29 a month. If the books come first, QuickBooks Online (from $38) and FreshBooks (from $23) win, and Wave Starter and Zoho Invoice are $0. We compared published plans between October 13 and 25, 2026. Before you pay anyone, run one real invoice through our free trial checklist.
What invoicing software is (and is not)
Invoicing software creates a bill, sends it with a way to pay, tracks whether it was paid and chases it if it was not. It is not the same as accounting software, which keeps the ledger, runs payroll and files tax; some tools here do both, and some only invoice.
You may not need a paid tool yet. A template works for your first few invoices. Switch when you are tracking who paid in your head, retyping a quote into an invoice, or billing the same retainer by hand every month. Our guide to invoicing clients as a freelancer covers the manual version.
How we compared these tools
We compared seven tools by reading their own published pages. Prices and limits were read on 2026-10-25, except QuickBooks Online’s, which were read on 2026-10-13, for one person on monthly billing; where a detail is older, the text carries its own date.
- Entry price of a plan that sends invoices. US dollars, list price, billed monthly, with the yearly rate noted where the page shows it. Workspace369, FreshBooks, Wave, Zoho Invoice, Bonsai and HoneyBook were read on 2026-10-25; QuickBooks Online on 2026-10-13.
- Plan gates. Which tier unlocks automatic reminders, recurring invoices, time-to-invoice, deposits and a client portal, read from each vendor’s plan table.
- Seats and client caps. Included users, the price of an extra user, and any limit on billable clients or invoices.
- Trial terms. How long each trial or free tier runs, as stated on the vendor’s page.
- Team cost. The monthly price for 1, 3, 5 and 10 people who need a login, on list prices from the same dates.
What we did not test. We did not sign up for, time or load-test any of these tools, and we did not measure payment speed, mobile apps, support quality or data export. We have no customer ratings to report. We left payment-processing fees out. Rankings are an editorial judgment from published plans, and vendors change plans without notice. Check the sources at the end before you buy.
The best invoicing software for small business in 2026
The order follows documented fit for a small business that quotes, delivers and bills client work. It is not a ranking by price, and books-first businesses should read entries 2 and 3 first.
1. Workspace369, best for small businesses whose invoices come out of client work
Our #1 pick is Workspace369. Its pricing page lists invoices, recurring invoices, retainers, deposits, online card payments through Stripe, payment links and proposal-to-invoice conversion on every plan, starting with Cadet at $29 a month ($23.25 a month billed yearly). Time tracking, timers and time-to-invoice are also on every plan, so tracked hours become invoice lines with the project attached. Clients accept a proposal and pay the deposit in the same step.
The case for ranking it first is fit: nothing is retyped between the proposal, the project and the bill. A QuickBooks or FreshBooks invoice starts from an empty form unless you also run proposals there.
Cadet has limits to plan around: one seat and up to 3 active email workflows. Payment plans, expenses, AR aging and basic accounting start on Specialist at $149 a month for 10 seats; full accounting starts on Commander at $299. Texting reminders start on Voyager, $74 for two seats; extra seats are $10 a month. Cadet through Commander start with a 14-day free trial (card required).
Best for: small teams that bill from proposals, deposits, retainers and tracked hours. Workspace369 pricing
2. FreshBooks, best for service businesses that want invoices and reports
FreshBooks fits a service business that wants invoicing and accounting reports without a full accounting setup. Lite is $23 a month and bills 5 clients. Plus is $43 for 50 clients and is where proposals, client retainers and accountant access sit, per the page we read on October 25. Premium is $70 with no client cap. Each team member is $11 a month. The page lists a 30-day trial.
Our FreshBooks review covers the client limits in detail. For a business that mainly sends invoices and wants clean reports, it is the more focused tool of the two books-first picks.
The limits: the 5-client cap on Lite arrives quickly, and the full workflow of proposals and retainers needs Plus at nearly twice the entry price. There is no free tier. New-customer promotions were showing; budget on the regular list price.
Best for: service businesses with a modest client list that want invoices and reports in one place. FreshBooks pricing
3. QuickBooks Online, best when an accountant already works in it
QuickBooks Online fits a business whose accountant, payroll and bills already live in QuickBooks. Simple Start is $38 a month for 1 user, Essentials $85 for 3 users, Plus $140 for 5 users and Advanced $340 for 25 users. Invoicing with card and bank payments through QuickBooks Payments is listed on the entry plan as read October 8. The page lists a 30-day trial.
If the question is “what will my accountant open at tax time,” this is the safe answer, and ledger depth is where it beats every other tool here.
The limits: it is the second-priciest entry plan, you move up a plan when the user count fills, and invoices are one feature of a ledger, not the end of a proposal-to-payment flow. A 50% off promotion was showing for three months; it is not a list price.
Best for: businesses that run payroll, sales tax and bills in the same system as their invoices. QuickBooks pricing
4. Wave, best for free invoicing and bookkeeping as a solo owner
Wave fits a solo owner who wants free invoicing and bookkeeping. Starter is $0 and its page lists unlimited estimates, invoices and bookkeeping records. Pro is $19 a month, or $190 billed yearly, and adds bank imports, late-payment reminders and receipt capture.
For a handful of clients and simple jobs it is hard to beat on price, and there is no invoice cap to run into.
The limits: automatic late-payment reminders are a Pro feature, so on Starter you chase by hand. It is built for one owner’s bookkeeping, not for proposals, projects or a team.
Best for: solo owners with simple jobs who want invoices and bookkeeping at no monthly cost. Wave pricing
5. Zoho Invoice, best for free invoicing inside the Zoho ecosystem
Zoho Invoice is free. Its pricing page lists 2 users, 3 projects, 500 invoices a year and 2 organizations, with Zoho branding on the free plan. As read October 25, it also lists recurring invoices, payment reminders, time logging and a customer portal.
It fits a business that only needs invoicing, or already runs on other Zoho apps. Full bookkeeping is a separate product, Zoho Books.
The limits: 500 invoices a year is generous for a few clients but a real ceiling for a busy shop, and the page lists no paid Invoice plans, so growing means moving to Zoho Billing. Zoho branding stays on the free invoices.
Best for: small businesses that want free recurring invoices and reminders with a modest invoice volume. Zoho Invoice pricing
6. Bonsai, best for freelancers who bill hours against projects
Bonsai is worth a trial when time entries drive your invoices. Basic is $15 per user a month and tracks time, tasks and a CRM but has no invoices. Essentials, $25 per user ($19 billed yearly), adds invoices, payments, proposals, contracts, forms, scheduling, the client portal and expenses. Premium is $39 and Elite is $59 with a three-user minimum.
For a solo freelancer the fair comparison is Essentials at $25, which lands near Workspace369 Cadet at $29. Our Bonsai review goes through the tiers.
The limits: pricing is per user, so a second person doubles the bill, and the page lists no free tier. The trial is 7 days, the shortest here, then a paid plan.
Best for: freelancers who bill by the hour and want time entries to flow into invoices. Bonsai pricing
7. HoneyBook, best for solo creatives selling packages
HoneyBook is built around presenting services to clients, with invoices, payments, proposals, contracts and a client portal. Starter is $36 a month ($29 billed yearly) and has two live lead forms, one scheduler session type and email-only reminders. Essentials, $59 ($49 yearly), adds automations, SMS reminders and up to two team members. Premium is $129 ($109 yearly). HoneyBook’s own FAQ describes a 30-day trial.
It suits a photographer or designer with a repeatable booking flow. Our HoneyBook review covers the decision.
The limits: it is the costliest entry plan in this comparison, and a team larger than two means jumping to Premium. Price Essentials, not Starter, if you need automations.
Best for: solo creatives who sell packages with a repeatable onboarding process. HoneyBook pricing
Side-by-side comparison
Prices are US dollars for one person on monthly billing, from vendor pages read on 2026-10-25 (QuickBooks Online on 2026-10-13).
| Tool | Entry plan | Best for | Key gate | Limitation |
|---|---|---|---|---|
| Workspace369 | Cadet $29 (1 seat) | Invoices from client work | Texting starts on Voyager; accounting on Specialist | Cadet: 1 seat, 3 workflows |
| FreshBooks | Lite $23 | Invoices plus reports | Proposals and retainers start on Plus ($43) | Lite bills 5 clients |
| QuickBooks Online | Simple Start $38 | Books first, accountant in QuickBooks | More users need Essentials ($85) | Invoicing is one feature of a ledger |
| Wave | Starter $0 | Free solo invoicing | Late-payment reminders start on Pro ($19) | Not built for proposals or teams |
| Zoho Invoice | Free | Free recurring invoices | Paid growth moves to Zoho Billing | 500 invoices a year, Zoho branding |
| Bonsai | Essentials $25 per user | Hourly billing | Invoices start on Essentials, not Basic | Per-user pricing; 7-day trial |
| HoneyBook | Starter $36 | Creative booking | Automations and SMS reminders start on Essentials | Highest entry price here |
What invoicing software costs for a small team
Price the team, not just yourself. The cheapest solo plan is rarely the cheapest at five people.
| People who need a login | FreshBooks Plus | QuickBooks Online | Bonsai Essentials | Workspace369 |
|---|---|---|---|---|
| 1 | $43 | $38 (Simple Start) | $25 | $29 (Cadet) |
| 3 | $65 | $85 (Essentials) | $75 | $84 (Voyager + 1 seat) |
| 5 | $87 | $140 (Plus) | $125 | $104 (Voyager + 3 seats) |
| 10 | $142 | $340 (Advanced) | $250 | $149 (Specialist) |
Monthly list prices, read October 25, 2026 (QuickBooks Online October 13); this is seat arithmetic, not a feature match. FreshBooks is $43 plus $11 for each person after the first, and Plus still caps billable clients at 50. QuickBooks jumps plans when Essentials (3 users) or Plus (5 users) is full. Bonsai charges $25 for every user. Workspace369 adds $10 a seat on Voyager, and Specialist includes 10 seats. HoneyBook is left out because Essentials stops at 2 team members and the next step is Premium at $129. Try your own numbers in the software stack calculator.

| A freelancer billing hours per project | Bonsai Essentials, $25 | Time entries lead into invoices; portal included |

How to read an invoicing software pricing page
On any pricing page, find these lines before you look at the headline price:
- The client or invoice limit. FreshBooks Lite bills 5 clients; check whether archived clients count.
- The price per user, and whether the owner counts as one.
- The plan where reminders become automatic. On Wave it is Pro; HoneyBook sends payment reminders by email on Starter and adds SMS reminders on Essentials.
- Monthly or yearly. A yearly price shown per month is not what a monthly plan costs.
- The promo end date. A first-year or three-month price ends; budget on the regular price.
How to test invoicing software in a free trial
Trial lengths as stated on each vendor’s page: FreshBooks and QuickBooks Online 30 days, HoneyBook 30 days per its FAQ, Workspace369 14 days, Bonsai 7 days; Wave Starter and Zoho Invoice are free tier plans with no trial clock. Use the trial on one real invoice:
- Send yourself a real invoice with your logo, tax line and payment terms.
- Pay it from your phone. If paying takes more than a minute, your clients will feel it.
- Let a reminder go out. Set a due date in the past or a short one, and read what the client receives.
- Bill something you actually sell: a deposit, an hourly week or a monthly retainer.
- Export your data. Leaving later should be a download, not a project.
Our trial checklist helps you run the same test on each finalist. HubSpot also says invoices are a free feature in its free tools (page read October 8, 2026); payment links need a connected payments account. HubSpot invoices
