Bonsai is worth a trial if you bill by the hour or run a service team that lives in profitability reports. Budget for Essentials ($25 per user a month) for invoices, proposals and the client portal, and Premium ($39) for automations or QuickBooks. For a growing team, our pick is Workspace369, which we make.
Prices, plan gates and the review score below were checked on Bonsai’s own pages and on Capterra on October 5, 2026. All prices are in US dollars. This is an assessment of published plans and product pages, not a hands-on test.

What is Bonsai, and who is it for?
Bonsai (hellobonsai.com) is client and project management software for service businesses: agencies, consultancies and freelancers who sell time or fixed-fee projects. Its pitch is one connected path from proposal to contract, project, tracked time and invoice. Bonsai pricing
That path is real, but each step sits on a specific plan. Time tracking, tasks and a CRM come with every plan; invoices, proposals and the portal start one tier up; automations and integrations start two tiers up.
Ownership matters for long-term planning. Zoom announced on November 5, 2025 that it would acquire Bonsai and says the transaction closed in December 2025. According to Zoom, Bonsai remains a standalone platform under its own brand, and Zoom plans to bring its capabilities into Zoom over time. Zoom announcement

Three details change the total. Elite’s three-user minimum sets a floor of $177 a month on monthly billing, or $147 on yearly. Bonsai advertises a reduced rate for teams of 30 or more users but doesn’t list it. And the free trial gives full access for seven days, after which you choose a plan. Bonsai pricing FAQ
Which Bonsai plan do you actually need?
Start from the job, not the cheapest card:
- You only need to track hours: Basic, $15 per user a month. It has no invoicing, so tracked hours have to be billed somewhere else.
- You send proposals and invoices and want a client portal: Essentials, $25. This is the real entry plan for client work. It also splits billable from non-billable time and attaches time entries to invoices.
- You want automations, QuickBooks sync or profitability reports: Premium, $39. Portal messaging, Bonsai branding removal and more than one scheduling event type also start here.
- You need custom permissions or locked timesheets: Elite, $59, for at least three users.
For most buyers the decision is Essentials versus Premium. If your accountant expects invoices in QuickBooks, price Premium from the start.
Is Bonsai worth it for a team?
Per-seat pricing is fair for one person and grows with every hire. Here is the monthly cost at four team sizes:

Bonsai is the cheaper choice for a solo freelancer. For one hourly worker the gap is wider than the table suggests, because Bonsai includes time tracking from Basic while Workspace369’s time tracking starts on Voyager at $74. On yearly billing, five Essentials seats come to $95 a month, below Voyager’s monthly total, so compare annual quotes on both sides.
The picture changes as the team grows. Ten Premium seats cost $390 a month, or $4,680 a year on monthly billing. Workspace369 Specialist includes ten seats for $149 a month, or $1,430.99 billed yearly, against $2,280 a year for ten yearly Essentials seats. Features differ by plan on both sides, so price the plan that covers your workflow, not just the headcount. Our agency software cost guide shows how per-seat pricing compounds across a whole stack.
What do Bonsai reviews say?
On Capterra, Bonsai scored 4.6 out of 5 from 95 reviews, with 4.6 for ease of use and 4.3 for customer service, when we checked on October 5, 2026. The page said it was last updated September 29, 2026. Capterra Bonsai reviews
That is a strong score, but it is one signal: a freelancer on Basic and an agency on Premium describe different products. Read reviews for the plan the reviewer used, how the client side worked and whether billing matched how they charge.
Where is Bonsai strongest?
Turning tracked time into invoices
Time tracking is on every plan and is Bonsai’s natural entry point, with an in-app timer, billable categories and invoices generated from tracked time. On the plan grid, the billable split and attaching time entries to invoices start on Essentials; timesheets and timesheet reminders start on Premium. Bonsai time tracking
Retainer and subscription invoicing
Essentials covers retainer invoices, subscription invoices, scheduled sending and multi-currency billing. Bonsai also describes payment reminders, seen receipts and a QuickBooks Online sync; the plan grid places QuickBooks on Premium. Bonsai invoicing
Proposals with packages and deposits
Bonsai proposals support one or several service packages, seen receipts, one-click client approval and a deposit request when the client approves. Test the second proposal as well as the first: a client who approves a website and then asks for an online store needs a clean way to quote the extra scope. Bonsai proposals
A client portal without client accounts
Clients open the portal through a secure link without creating an account, then see project progress, contracts, proposals, invoices and files. On the plan grid, client messaging and removing Bonsai branding are Premium features. Bonsai client portal
How to test Bonsai in a 7-day trial
Seven days is short, so plan the test before you sign up and use one real client:
- Pick the plan you would pay for. The trial is full access, so note whether your process fits Essentials or needs Premium.
- Send one proposal with two packages. Approve it from a client inbox and check the deposit step.
- Track a small job. Log billable and non-billable time, correct one wrong entry, then attach the hours to an invoice.
- Open the portal as the client. On a phone, find the invoice and the next step without help.
- Run your accounting handoff. If QuickBooks matters, test the sync, since it requires Premium.
- Count every seat. List everyone who needs a login and multiply by the plan price, monthly and yearly.
- Write down what the test relied on. Anything Premium-only belongs in your real budget.
When to compare Workspace369
Our pick is Workspace369, which we make. It prices by plan with seats included rather than per person: Cadet is $29 a month for one seat, Voyager $74 for two, Specialist $149 for ten and Commander $299 for twenty. Extra seats are $10 a month from Voyager, and every plan has a 14-day free trial. Workspace369 pricing
The plan gates that matter for a Bonsai buyer:
- Every plan: proposals with themes, invoices, clients, projects, the client portal, payment schedules, retainers with auto-invoice, and email workflows (up to three active on Cadet).
- Voyager and up: time tracking from timer to bill entries to invoice, a shared inbox with SMS texting in one client thread, and Requests, a lead form whose submissions become clients.
- Specialist and up: client self-booking pages, deposits paid when a proposal is accepted, voice calls with AI call summaries, and webhooks and API.
If you work alone and bill by the hour, Bonsai Basic or Essentials will cost less. If you are adding people, or want texts and calls on the client record, see Workspace369 vs Bonsai, side by side. Before cancelling any tool, save signed contracts, settle open invoices and finish running retainers.
